OVERVIEW

We are seeking a highly organised and professional Senior Receptionist to join our team. This pivotal role requires a friendly and efficient individual who will be the first point of contact for our clients and visitors. The Senior Receptionist will manage a variety of administrative tasks, ensuring the smooth operation of our front desk while providing exceptional customer service.

REQUIREMENTS

  • Proven office experience with a strong background in administrative roles.
  • Excellent computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong organisational skills with the ability to multitask effectively in a fast-paced environment with the ability to manage and prioritise multiple requests.
  • Exceptional typing skills with attention to detail for accurate data entry.
  • Ability to work with guidance and to know when initiative is needed.
  • Demonstrated clerical experience with a focus on maintaining confidentiality and professionalism.
  • Familiarity with booking platforms such as Acuity and Cliniko is advantageous but not essential.

Responsibilities
  • Greet and assist clients and visitors in a professional manner, ensuring a welcoming environment.
  • Manage incoming calls with excellent phone etiquette, directing calls to the appropriate personnel.
  • Maintain an organised reception and clinic, including managing cleaning schedules, ensuring the clinic space is kept functional etc.
  • Perform data entry tasks accurately and efficiently, ensuring all information is up to date.
  • Booking appointments and managing payments.
  • Utilise Microsoft Office and booking platforms for various administrative tasks, including document preparation, creating invoices and communication.
  • Handle clerical duties such as filing, photocopying, and maintaining office supplies inventory.
  • Assist with bookkeeping tasks and monthly finances.
  • Collaborate with other clinicians and health professionals to ensure seamless communication to support the clinic.
  • Other administrative duties as required.
