Why is this role important?
The Senior Coordinator, is responsible for providing planning and execution support for key projects that are underway within the Digital Solutions Branch. The role will work across the two departments in the Branch, supporting both the Digital Solutions Operations team and the “Hub” program of work on initiatives that require dedicated oversight and coordination across the team.
Key responsibilities include supporting the governance committees for the Hub Program and helping with coordination and implementation of program-wide change management activities (ex. All-staff Showcases, Divisional rounds, etc). In addition, the Senior Coordinator will be responsible for working with the department leadership to prepare presentations and write supporting documentation.
What you’ll do
1. Hub Governance: Responsible for ensuring the Hub Advisory and Steering Committees are well planned and organized. This includes development of the agenda and materials, team coordination to ensure timely preparation and distribution, completion of internal review processes, and creating meeting summaries and tracking action items.
2. Special Projects: Working with Digital Solutions and Hub Program Leads/Consultants and Managers, the Senior Coordinator will assist on special projects to ensure activities are well organized and delivered on time. This can involve:
a) Development of Project Management plans, including developing Gantt Charts, and communication/dissemination documentation;
b) Development of regular status tracking against these projects to allow for Leadership oversight of the implementation plans for corporate projects;
c) Identifying resource requirements and monitoring project risks;
d) Liaising with members across the organization (e.g. analytical, IT teams) in development of documentation and plans for each project;
3. Change Management Support: Working with the Change Management lead to coordinate, prepare and deliver internal Hub information and engagement sessions, including periodic all-staff Showcases, manager sessions, other education and staff engagement activities. This may also include coordinating program lessons learned, developing user support processes, tracking project benefits, etc.
4. Supports development of Hub Program deliverables, including providing regular updates to departmental and program workplans.
5. Provides input and support to the Director in the development of Branch operational plans, corresponding resource allocations and reports for quarterly reporting.
6. Responsible for preparing, on an ad-hoc basis, communications and related presentations, including briefing notes, web content and communication information products for the Director or Managers.
7. Coordinates the regular submission of project status reports and other corporate reports to the Program Management Office.

What you’ll bring to the table

  • Undergraduate degree in health information, health policy, or health care field, or equivalent education/experience.
  • Minimum 3 to 5 years of project coordination or project management experience.
  • Knowledge and experience with Business Intelligence tools in the Healthcare sector.
  • Demonstrated project management experience, including production of project Gantts and experience in coordinating multiple projects.
  • Formal training in Project Management from PMI or similar is an asset.
  • Experience with change management, product management and iterative delivery are an asset.
  • Strong writing skills, with demonstrated ability to synthesize information and produce summary material.
  • Demonstrates ability to handle multiple project priorities at once and reprioritize work as priorities change.
  • Experience in use of Microsoft Office applications, such as Word, Project, PowerPoint, Teams, and SharePoint. Experience in use of JIRA is an asset.
  • Strong verbal communication, interpersonal, negotiating, and facilitation skills.
  • Fluency in English is required, bilingualism in both official languages is an asset.
