JOB SUMMARY:

The Senior Document Controller will manage, organize, and oversee the flow of all project documentation in a timely and efficient manner. They will play a key role in ensuring that all documents related to construction projects are accurately filed, tracked, and maintained in accordance with the project’s requirements, industry standards, and best practices. This role requires expertise in document control, attention to detail, and extensive experience in handling documents within the construction industry.

REQUIRED SKILLS AND QUALIFICATIONS:

  • Experience:
  • Minimum of 10 years experience in document control within the construction preferably with general construction companies and/or construction management firms, and large consultancy firms.
  • Proven experience working on large-scale construction projects project value above 100 mn AED (e.g., commercial, residential,).
  • Experience with industry-standard Document Control systems is a plus(e.g., Procore, Aconex, Viewpoint, etc.).
  • Technical Skills:
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Basic knowledge of AUTO CAD
  • Strong knowledge of document control software and systems.
  • Familiarity with construction industry terminology and document types (e.g., RFIs, submittals, change orders, etc.).
  • Communication:
  • Strong verbal and written communication skills.

  • Ability to work under pressure and prioritize tasks effectively.
  • Organizational Skills:
  • Exceptional organizational skills and the ability to handle multiple tasks simultaneously.

  • Problem-Solving:
  • Strong problem-solving abilities, particularly related to document retrieval and version control.
  • Educational Requirements:
  • High School Diploma is minimum requirement, advance degree is a plus.
  • Certification in Document Control or similar qualifications is a plus.
Responsibilities
  • Document Management:
  • Manage and control the flow of all documents for the project including drawings, contracts, correspondence, and other key documentation.
  • Create and maintain filing systems for both physical and electronic documents.
  • Ensure all project-related documentation is properly archived and can be easily retrieved when needed.
  • Document Control Systems:
  • Implement and maintain an effective document control system to ensure proper categorization, distribution, and tracking of project documentation.
  • Utilize Document Management Software (DMS) to store and manage electronic files (e.g., Procore, Aconex, or similar platforms).
  • Perform regular backups and ensure data security of all project-related documents.
  • Coordination and Communication:

  • Review documents and ensure they meet the project specifications and requirements before distribution.
  • Coordinate the approval process for drawings, changes, and other key documents.
  • Keep and update log sheets of authrity approvals, IPCs, variations etc
  • Ensure compliance with industry standards, company procedures, and contract requirements.
  • Document Control Procedures:
  • Assist in Development, implement, and update document control procedures to improve efficiency and accuracy.
  • Quality Assurance and Compliance:
  • Ensure that all documents are up-to-date, accurate, and coordinate with superiors to check if they are compliant with project requirements.
  • Perform regular audits of documentation and coordinate with superiors to ensure compliance with relevant regulations, standards, and contractual obligations.
  • Maintain up-to-date versions of drawings and documents, ensuring that the development team have access to the most current and approved information.
  • Reporting and Analysis:
  • Generate reports on document status, including submission, review, approval, and distribution timelines.
  • Track and report on document-related issues, such as overdue reviews or approvals, and escalate as necessary.
  • Monitor project documentation to ensure that deadlines are met and that there are no delays due to missing or incomplete documents.
