Description Vistra is seeking a Senior Event & Meeting Coordinator to lead and oversee planning, coordination, day-of execution, and follow-on logistics for events related to suicide prevention and response in the military, including conferences, trainings, roundtables, and working groups. This position is primarily remote but is required to reside in the National Capital Region (NCR), with ad hoc on-site requirements at the Mark Center and/or Pentagon. Key Responsibilities: Lead the strategy, design, and execution of large-scale events (2000+ attendees), ensuring each event is impactful, well-branded, and aligned with the office’s communications goals Oversee agenda development, speaker selection, event branding, and interagency coordination to deliver a cohesive and engaging attendee experience Other tasks as assigned Requirements Master’s degree in Hospitality, Communications, Public Affairs, or related field and 10+ years experience 5+ years of experience planning and executing large-scale conference and event planning, ideally within government or healthcare-related contexts Experience designing and managing event themes, visual identity, and branding that aligns with and strengthens the overarching communications strategy Experience identifying and securing speakers, facilitators, and panelists that align with event goals and audience needs Experience coordinating with senior government stakeholders and partner organizations to ensure alignment on messaging, objectives, and deliverables Experience leading teams to ensure seamless execution of all conference activities Ability to manage all aspects of event planning and logistics from concept through post-event evaluation Ability to oversee creative direction for event materials (branding, signage, presentations, handouts, etc.) to ensure cohesion with overarching brand Ability to determine event tracks, agendas, and session formats that drive engagement and deliver clear outcomes Strong leadership, communication, and organizational skills Ability to obtain a Secret Clearance Additional Preferred Qualifications: Experience developing or managing mobile registration applications Ability to manage complex logistics and multiple stakeholders Ability to problem-solve in real time, manage competing priorities, and lead a cross-functional team through complex logistics Ability to anticipate and resolve challenges under pressure About Vistra: Vistra Communications, doing business as Vistra and Vistra Federal Solutions, is a Service-Disabled Veteran-Owned Small Business (SDVOSB) headquartered in Tampa, FL with an office in Springfield, VA providing professional support serviced to Defense, Federal, and Civilian Agencies.
