Act as the trusted liaison in order to maximize the operational efficiency and effectiveness by working collaboratively with both internal and external stakeholders.

QUALIFICATIONS & EDUCATION:

  • Minimum of 10 years relevant experience in an executive support role
  • Diploma/Degree from a post-secondary institution related to office administration or equivalent experience
  • Excellent written and oral communication skills (English & French). Strong writing, editing and formatting skills [English skills are a priority over French]
  • Proficiency in Microsoft Office
  • Excellent organizational and time management skills, including the ability and ease to manage varied tasks and responsibilities simultaneously
  • Must have a high degree of confidence, initiative, autonomy, pro-activity, loyalty, punctuality, attention to detail and professionalism
  • Must ensure impeccable discretion in managing sensitive/confidential information and data and the ability to adapt to a constantly changing environment
  • Availability outside of standard business hours for urgent requests; will need to be flexible

Responsibilities

YOUR FUTURE DUTIES AND RESPONSIBILITIES

Responsible for coordinating day-to-day activities such as:

  • Close management of agenda: time & travel
  • Organizing and planning meetings, reserving meeting rooms, preparing documents and related correspondence, ordering meals, setting up audio-video equipment, etc.
  • Management of E-mails, tracking and follow-ups.
  • Facilitate and draft responses and communications, including translation as required
  • Create, maintain and update various distribution lists and keep an accurate filing system
  • Assist in planning and booking global travel including flights, accommodations, ground transportation and specific meetings or activities
  • Manage miscellaneous other administrative tasks, but not limited to, such as: preparation of expense reports, various approvals, document printing, assembling binders and other documentation, follow-ups, research as required, etc.
  • Collaborate closely and develop good working relationships with internal and external stakeholders including CGI Partners worldwide and at all levels, clients, partners, board members, etc
  • Coordinate and closely monitor various donation & sponsorship requests from the receipt, recommendation, approval/decline decision, budget alignment, response, payment, visibility and attendance of confirmed events with clients and CGI member-partner
  • Manage and maintain the corporate aircraft travel and maintenance schedule as well as reconcile billing on a monthly basis
