Position Description POSITION: SENIOR EXECUTIVE ASSISTANT REPORTS TO: CEO PROGRAM FUNDS: CORP. 100% WIC N/A HS N/A MHS N/A CWR N/A TIME ALLOCATIONS: CORP. 100% FIELD SITES N/A KITCHEN N/A WIC N/A CWR N/A FLSA STATUS: EXEMPT SUPERVISORY RESPONSIBILITIES: NONE SCHEDULE: FULL-TIME Revision date: 11/17/2025 GENERAL POSITION SUMMARY: The Senior Executive Assistant will serve in the capacity of Board Clerk and Public Affairs as well as providing high-level administrative and organizational support to the Chief Executive Officer (CEO) and the Board of Directors. This position plays a critical role in ensuring the smooth operation of executive functions, board governance, and organizational communications. The ideal candidate is a proactive professional who thrives in a mission-driven environment, exercises sound judgment, and maintains confidentiality while managing multiple priorities with grace and accuracy. ESSENTIAL JOB RESPONSIBILITIES: Executive Support to the CEO Manage the CEO’s daily calendar, schedule meetings, and coordinate travel and logistics. Prepare, edit, and proofread correspondence, reports, presentations, and other documents. Track and help drive completion of key deliverables and follow up on outstanding items. Serve as a liaison between the CEO and internal/external stakeholders, ensuring timely communication and professionalism. Support strategic initiatives and special projects as directed by the CEO. Maintain accurate and organized electronic and paper files. Handle confidential information with discretion and integrity. Other duties as assigned. Board Administration / Clerk Duties Serve as the primary administrative liaison to the Board of Directors and Board Committees. Coordinate all aspects of board and committee meetings, including scheduling, logistics, agenda preparation, and minute-taking. Prepare and distribute board packets and ensure timely delivery of materials. Maintain official board records, bylaws, policies, and historical documentation. Support board member onboarding, term tracking, and compliance with governance requirements. Assist the CEO and Board Chair with governance and policy updates as needed. Other duties as assigned. Public Affairs Duties Maintains all social media communications, website, and postings. Prepares press packets, press releases, and advisory communications. Establishes relationships with media and proactively promotes agency stories. Develop and maintain a constant contact database. Organizational Support Assist with staff communications, meeting coordination, and cross-departmental collaboration. Support preparation for audits, compliance reviews, or grant reporting that involves executive or board documentation. Participate in planning and executing organizational events or retreats. Coordinates event planning with the CEO and Business Development Manager. Lead development and publication of the Annual Report. Perform other duties as assigned in support of the mission and executive operations. CORE COMPETENCIES: Exceptional written and verbal communication skills. Strong organizational, time management, and problem-solving abilities. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Adobe Acrobat, and virtual meeting platforms (Zoom, Teams). Familiarity with board management software (e.g., BoardEffect, OnBoard, Diligent) a plus. Familiarity with Board policies and procedures preferred. Social media experience, press and public affairs experience preferred. Ability to manage confidential information with discretion. Professional demeanor, tact, and emotional intelligence. Commitment to the organization’s mission and values. MINIMUM REQUIREMENTS: Associate’s or Bachelor’s degree preferred; equivalent experience considered. Minimum 3–5 years of progressively responsible administrative experience supporting senior executives, ideally in a nonprofit environment. Board responsibilities; 2-3 years preferred.
