We are currently seeking a Senior Executive Assistant to serve as the operational bedrock for the C-Suite and Chairman of the Board at our Home Office in Irvine. You will manage the heavy administrative lifting of a fast-paced executive office while ensuring corporate governance and project timelines never slip. You are the primary coordinator for C-Suite’s collective time and projects. In a high-growth healthcare environment, you ensure that the Chiefs are synchronized. You manage the "front of house" for the executive wing, ensuring every internal and external interaction reflects the company's professional standards. What you’ll be doing: Manage high‑volume, complex calendars and act as a strategic gatekeeper for the C‑Suite Prepare executive presentations, reports, correspondence, and expense reporting Coordinate multi‑executive travel, board meetings, and off‑sites Administer the Board Portal, prepare and distribute materials, take minutes, and track follow‑up actions Support and track corporate initiatives, timelines, and executive projects Serve as a liaison between the C‑Suite and department leaders to ensure follow‑through Oversee day‑to‑day administrative operations for the Irvine headquarters Maintain professionalism and composure in high‑pressure or emotionally sensitive situations Qualifications: 7+ years of experience supporting C‑Suite executives in fast‑paced, high‑pressure environments Bachelor’s degree in Business, Finance, or a related field preferred (or equivalent experience) Advanced proficiency in Microsoft Excel and PowerPoint Experience with board portals (e.g., Diligent) and project management tools (Asana, Smartsheet, or similar) Highly organized, self‑directed, and able to manage competing priorities Excellent written and verbal communication skills Strong judgment, emotional intelligence, and discretion Flexibility required; occasional evenings/weekends as needed Active role: walking, bending, lifting (up to 20 lbs.)
