Responsibilities

As a part of the leadership team, you are the CEO’s right hand, chief organizer, gatekeeper and keep-things-moving captain. You will:

  • Serve on the leadership team and as primary point of contact for the CEO – if someone needs him, it goes through you and you resolve what you can to protect his calendar
  • Serve as first level inbox review, reviewing and fielding email and responding to emails on behalf of the CEO (mission – zero inbox!)
  • Manage CEO calendar including effectively blocking time for important tasks, confirming daily appointments, scheduling new meetings (including virtual invites), adjusting calendar as changes and needs arise
  • Coordinate and book travel arrangements (including site visits to construction sites that coordinate with architects, clients)
  • Coordinate leadership team meetings – prepare agenda, compile materials, task and follow up on action items after the meeting
  • Maintain organized filing systems for contracts, project documents and executive records
  • Special project tasks including compiling data and metrics, reports and presentations, coordinating with third parties

Senior Executive Assistant (EA) - Required Skills, Experience & Culture Fit

You are an organizational and inbox master that has:

  • Prior experience serving as an Executive Assistant or supporting executive leadership
  • Prior experience managing an executive inbox and handling emails on behalf of leadership
  • Exposure working in a startup or small, fast-growing environment, demonstrating comfort with the inherent “chaos” of growth
  • Proven success as a problem-solver who can anticipate and resolve issues
  • Experience with Microsoft suite (MS Word, Excel, PowerPoint, Outlook)
