Must have excellent calendar management skills and experience managing an extremely active calendar; excellent writing skills, including writing for a number of audiences in a variety of formats, including meeting minutes and strategic documents. University of Maryland Global Campus (UMGC) seeks a Senior Executive Coordinator. The Senior Executive Coordinator is responsible for ensuring the effective and efficient operation of the office and provides oversight for the administrative functions. Provides assistance by managing projects, carrying out complex assignments and performs additional executive-level tasks requiring an analysis of systems, policies and/or procedures, organization and management, workflow, and work distribution. Administrative and logistical support include drafting correspondence and/or refining reports, letters, or emails; scheduling coordination of meetings, conference calls, travel and events and maintaining records. The Senior Executive Coordinator serves as a liaison between the Office and other leadership, management and administrative departments at UMGC, ensuring that systems work efficiently and effectively. Senior Executive Coordinator assists in facilitating smooth communication with key external constituencies and provides supervisory direction to administrative staff.

Responsibilities

SPECIFIC RESPONSIBILITIES INCLUDE:

  • Scheduling and Administrative Support: Strategic management and oversight of the Office to ensure extensive and effective calendar management to concentrate the efforts and priorities on strategic initiatives; principal point of contact for Provost and ensures proper handling and screening of calls and other inquiries to ensure adequate oversight and coordination; manage flow of information in and out of the Office.
  • Event and Project Management: Supervise the administrative staff to ensure coordination of organizational-wide events, meetings and retreats; attend meetings and take notes as requested ensuring follow-up items are handled and/or communicated to the appropriate parties.
  • Writing and Communication: Draft and format letters and emails as appropriate for general and routine correspondence including potentially confidential information, for both internal and external audiences.
  • Relationship Management: Schedule, organize and manage staff meetings for the Office within the department; facilitate the management of internal communications ; serve as timekeeper back; liaison for Human Resources, IT and Facilities; work collaboratively in a team environment.
  • Other job-related duties as assigned.

Works closely with the President and Director of Executive Support to keep them well informed, briefed and prepared of upcoming commitments and responsibilities to include follow up as appropriate. Prioritizes conflicting needs and handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressure
  • Writing and Communication: Draft and format letters and emails as appropriate for general and routine correspondence including potentially confidential information, for both internal and external audiences
  • Event and Project Management: Work with the Director of Executive Support and Operations and University Events to offer wholistic support to the university president and office staff in coordination of organizational-wide events, meetings, and retreats; attend meetings and take notes as requested ensuring follow-up items are handled and/or communicated to the appropriate parties
  • Prepare for daily meetings and events, including preparing agendas, gathering content and research that has been prepared by relevant teams, and as needed preparing newmaterials, and policy briefings. Coordinate with internal and external communications on talking points, speech drafts, and presentation
  • Make travel arrangements, manage expenses, and receipts
