Responsible end-to-end process for HO and retail recruitment which include:

  • Job posting
  • Candidates shortlisting
  • Interview and selection
  • Salary proposal
  • Job offer
  • Collection of documents
  • Background search selected candidates
  • Set up new hire p/file with the relevant documents
  • Create/Verify new hire records in HRIS
  • Onboarding and orientation
  • Onboarding surveys for new hires
  • Confirmation of new hires

Timely and accurate maintenance of employees’ data in the HRIS and ensures data integrity is maintained in the system and personal files
Ensure timely work pass application for new hire, renewal and work pass cancellation for separation
Monitor and handle contract renewals, including re-employment cases
Handles administrative tasks relating to employment movement which include transfer, redesignation, promotion, re-employment, and employee separation, including preparation of all HR-related letters
Contact point for employee’s queries on payroll, benefits and HR-related matters

Manages the offboarding process which include:

  • Resignation Acceptance
  • Exit interview and Clearance
  • Termination of benefits and access
  • Update resignees’ record in HRIS

Maintenance of up to date and accurate data in HRIS for benefits-related modules, such as leave, claims modules.
Handle quarterly department leave balance report and leave accrual report generation
Handle the year-end migration for benefits modules
Administer employee benefits programs, including health insurance
Assist in insurance claims submission with broker
Act as back-up for verifying payroll related claims, leave applications, attendance records where necessary
Plan and implement employee recreational and wellness initiatives, including company-wide team bonding activities in Q1 and Q3, festive gifting for Christmas and Chinese New Year
Organize HR team bonding activities in Q2 and Q4
Review offerings under Family Connect bookings and oversee the smooth running of Family Connect programme
Oversees the smooth running of Genius Programme
Manage and drive employee interest groups
Stay updated on legal changes and industry trends affecting the function.
Generate accurate and timely reports on payroll, benefits, and other HR metrics for decision-making.
Research on and submit proposals for projects assigned
Ensure project timelines are met to deliver project deliverables.
Deliver presentations on policy updates, project progress, and system enhancements.
Handle end-to-end payroll processing to ensure timely and accurate salary disbursements and compliance with statutory requirements.
Prepare and reconcile the payroll report for management review and audits.
Prepare timely and accurate payroll-related reports for management review.
Handle all statutory submissions, payments and processing of government claims e.g. CPF submissions, tax reporting, NS make-up pay, training grants, maternity leave, paternity leave, childcare leave, shared parental leave, etc.
Perform tax clearance for foreign workers
Handles year-end tax filing
Manage staff queries on pay matters

Oversee general office administration duties, including:

  • HR monthly Report
  • Company Organization Chart
  • Name card
  • Stationery
  • First aid kit
  • Rubber stamp
  • Perform other ad-hoc duties as assigned

Liaise with internal trainers and/or external vendors for scheduling and conducting courses and logistics arrangement
Support talent management operations/administration
Mentor and guide junior HR team members

Qualification

  • Bachelor’s degree in human resources, business administration, or related field with at least 3 years of relevant HR experience.
  • Diploma in HR Management or equivalent with at least 5 years of relevant HR experience.

Experience Required

  • Experience in recruitment, payroll and HR operations
  • Hands-on experience with HRIS and payroll systems (e.g., SAP, Workday, Timesoft, or similar platforms).
  • Experience in managing a small team, preferred but not a must
