National Gallery Singapore is a leading visual arts institution which oversees the world’s largest public collection of Singapore and Southeast Asian modern art. Situated at the birthplace of modern Singapore, in the heart of the Civic District, the Gallery is housed in two national monuments - City Hall and former Supreme Court - that have been beautifully restored and transformed into this exciting 64,000 square metre venue. Reflecting Singapore’s unique heritage and geographical location, the Gallery aims to be a progressive museum that creates dialogues between the art of Singapore, Southeast Asia and the world to foster and inspire a creative and inclusive society. In 2020, the Gallery was the only museum in Southeast Asia that received a ranking in The Art Newspaper’s annual global survey of attendance at art museums, taking 20th place. In 2018, the Gallery was also the first museum in Asia to receive the Children in Museums Award by the European Museum Academy and Hands On! International Association of Children in Museums. It also won the awards for “Best Theme Attraction” at TTG Travel Awards 2017, “Best Attraction Experience”, “Breakthrough Contribution to Tourism” and “Best Customer Service (Attractions)” at the prestigious Singapore Tourism Awards in 2016 for its role in adding to the vibrancy of Singapore’s tourism landscape.

QUALIFICATIONS
- At least 4 years of relevant work experience in an administrative portfolio, including coordination of schedules.
- Must possess cultural sensitivity and understanding for diverse stakeholders.
- Keen interest in working with educators and students.
- Have experience in coordinating schedules of multiple stakeholders.
- Demonstrated ability to manage projects effectively and deliver quality outcomes within tight timelines and budget.
- Demonstrated skills in managing a range of administrative processes including issuing and managing schedules, contracts, financials, and logistics.
- A proactive team player who is people-oriented, meticulous, resourceful, hands-on, and able to manage multiple projects simultaneously.
- Possess excellent interpersonal, communication and presentation skills to a broad audience base and diverse range of stakeholders.
- Good working knowledge of Microsoft Office Suite.
- Good command of written and spoken English is essential.
- Must be able to work on evenings, weekends, and public holidays when necessary.
- An interest in the Arts will be an advantage.
Responsibilities:
Key Responsibilities (but not limited to the below):
- Assist in coordinating information and communication between internal and external stakeholders related to the Art & Family preschool programme.
- Pre-assign Education Facilitators’ schedules based on availability and suitability, and coordinate rescheduling when necessary.
- Keep track of Education Facilitators’ timesheet for payroll purposes.
- Prepare learning tools for the Art & Family preschool programme.
- Coordinate all necessary briefings, trainings and evaluations for the Art & Family preschool programme.
- Manage the Art & Family preschool programme onsite schools’ visits and problem solving.
- Collate survey, data entry for reporting.
- Create weekly sales order for the Art & Family preschool tours and when necessary.
- Manage and maintain virtual meeting platform accounts for virtual programmes when necessary.
- Handle ad-hoc assignments as and when required
