Description

We are seeking a highly organised and commercially astute Senior Export Administrator to oversee and streamline intercompany inventory exports from the UK to the Netherlands, Spain and France. This is a critical cross-functional role that requires a strong understanding of customs compliance, ERP coordination, transportation documentation, and EU–UK trade regulations. The successful candidate will play a pivotal role in standardising export workflows, ensuring timely and accurate documentation and enabling visibility across group entities.

SKILLS AND EXPERIENCE

  • Minimum 5 years’ experience in export logistics, preferably in a multi-country, multi-brand setting.
  • Proven knowledge of UK and EU customs requirements including CDS, Incoterms, HS codes, EORI and VAT implications.
  • Strong systems experience (e.g., NAV, Sage, or similar), including intercompany modules and inventory workflows.
  • Experience managing export documentation, declarations and transport compliance.
  • Excellent communication and stakeholder management across departments and countries.
  • Detail-oriented, organised and able to work under pressure to tight shipment deadlines.
  • Knowledge of systems and carrier integrations.
  • Intermediate or advanced Excel.

Responsibilities
  • Develop and maintain standardised intercompany transfer processes (ICTA), including transfer pricing, Incoterms (DDP, DAP, EXW) and VAT treatment.
  • Coordinate mirror sales/purchase order processes across ERP platforms if needed (e.g. NAV 2018, Sage Sicon).
  • Ensure stock ownership transfer and landed cost calculations are accurately tracked and journaled.
  • Prepare and manage all UK-side export documentation, including Commercial Invoices, Packing Lists, Customs Declaration Service (CDS), Export Declarations and Movement Reference Numbers (MRNs).
  • Ensure all documents meet customs requirements for France, the Netherlands and Spain, including the correct HS codes, EORI registrations and Incoterms.
  • Coordinate with EU counterparts to manage import declarations.
  • Implement and maintain digital archiving for audit trails (e.g. by ASN or shipment number).
  • Support customs broker liaison, declarations and clearance communications where necessary.
  • Coordinate intercompany shipment scheduling using dedicated transport lanes (pre-defined routes) or LTL/FTL carriers.
  • Track vehicle departures, customs clearance and delivery milestones using integrated carrier APIs (e.g. UPS, TNT).
  • Review transport dashboards, carrier SLAs and KPI scorecards (e.g. on-time delivery, damage rates, dwell time).
  • Optimise returns, backhauls and carrier performance through structured reviews and exception reporting.
  • Monitor and report stock discrepancies, customs holds and shipping delays with structured Root Cause Analysis (RCA) and escalation.
  • Maintain a shared issue tracker for cross-functional transparency.
  • Identify opportunities to enhance traceability.
  • Assist in the evaluation or integration of customs broker platforms to reduce risk and cost if required.
