Responsibilities:
As a Senior HR Operations Specialist, you’ll report to the HR Manager, who also focuses on HR business partnership, and collaborate closely with other members of the HR team, including those in administration and recruitment. Your role will involve ensuring smooth and compliant HR administration while managing a wide range of HR operations. Key responsibilities include coordinating the onboarding process, overseeing contract and payroll management, handling visa and regulatory administration, and more.
You’ll be one of the few people in the organisation who gets to be in touch with everyone in the company. Therefore it’s important you feel comfortable to connect with people on any level and are a great communicator. Together with your HR colleagues and the wider staff team, you constantly work on improving the employee experience. You can follow processes and bring others along in it, but also are able to proactively improve them.
Your responsibilities will include:
- Leave and Absence Management: you will be responsible for maintaining and processing data related to vacation, leave, and sick days, ensuring accurate reporting and compliance with company policies.
- Employment Contract Management: you will manage the processes related to drafting, renewing, and amending employment contracts, ensuring all changes are documented and implemented correctly.
- HR Systems and Data Administration: updating and managing employee data in HR systems, addressing system-related inquiries, and proposing improvements will be part of your day-to-day tasks.
- Payroll and Employee Data Management: you will handle updates for payroll, maintaining records and processing all personnel changes related to mutations and payroll in the system.
- HR Policies and Standard Inquiries: providing guidance and acting as a point of contact for employees on standard HR policies, such as salaries, leave, and contract terms.
- Onboarding and Offboarding Coordination: overseeing and administering the onboarding and offboarding processes to ensure smooth transitions for employees.
- Pension Administration: you will manage pension-related processes, ensuring timely updates and compliance.
- Visa, IND, and 30% Ruling Administration: tracking critical dates for ongoing IND & visa cases, assisting with visa applications and 30% tax ruling processes.
- Payroll Process Ownership: as the process owner, you will collaborate with payroll partners and internal stakeholders to ensure smooth and compliant payroll processing.
- Process Improvements and Compliance: you will initiate process improvements, ensuring the accuracy of documents like the employee handbook and parental leave policies, while supporting compliance with labor laws and reporting requirements.
- Support for Immigration and Regulatory Processes: managing activities within the IND portal and assisting with visa and immigration-related cases.
