The role

The Senior HR Operations Specialist is a key member of our dynamic global team and the person will be in charge of HR Administration & System support activities.This role will work with a high degree of autonomy, managing and overseeing all administrative HR processes and documentation, playing a crucial role in ensuring the smooth and efficient handling of all operational HR activities. The Senior HR Operations Specialist also will:

  • Manage all employee administration processes, including contracts, onboarding, and offboarding.
  • Prepare and collect all necessary data for payroll processing (payroll is outsourced).
  • Act as the first point of contact for employees regarding administrative HR matters (payslips, holidays, leave, illness, etc.).
  • Maintain and update employee records and contractual data in HR systems.
  • Monitor contract deadlines, renewals, and changes.
  • Liaise with the external payroll provider to ensure accurate and timely payroll processing.
  • Draft and issue official HR communications and letters.
  • Prepare and maintain HR reports (headcount, turnover, personnel costs, etc.).
  • Work closely with the team and act as a mentor for junior staff.

REQUIREMENTS:

Our ideal Senior HR Operations Specialist will have a background in HR Administration subjects for Italian and international contexts (Germany, France, Belgium, Spain, Portugal), with a good knowledge of managing payroll and Labour Law. As well as:

  • Bachelor’s Degree in Law/Economics/Business administration or a related field
  • Knowledge of HR administration processes and a solid understanding of Italian labor law (knowledge of Labor Law for other countries will be an advantage).
  • Previous experience working in fast-paced environments, managing multiple priorities with speed and accuracy.
  • Strong organizational skills and attention to detail.
  • Hands-on operational work approach and the capability to work towards process improvement and efficiency.
  • Strong proficiency with HR tools and software for document and data management.

Working pattern and location

  • 40 hours per week, permanent contract
  • Monday – Friday
  • Hybrid role from our Milan office
