We operate in a fast-paced litigation environment and are seeking experienced professionals who can contribute immediately at a high level. POSITION SUMMARY We are seeking a Senior Litigation Legal Secretary with significant experience in Texas insurance defense litigation. This individual will support multiple attorneys in a high-volume practice and must be capable of managing a busy docket with minimal supervision. This is not an entry-level role. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced litigation environment. ________________________________________ Key Responsibilities Manage and maintain high-volume litigation dockets for multiple attorneys Prepare, revise, and finalize pleadings, discovery, motions, and correspondence E-file documents in Texas state and federal courts Maintain and track deadlines in accordance with Texas Rules of Civil Procedure and local rules Coordinate depositions, mediations, hearings, and trial settings Assist with trial preparation, including exhibits, binders, and logistics Handle attorney calendaring, scheduling, and travel coordination Enter attorney time and assist with billing in compliance with client guidelines Communicate professionally with clients, opposing counsel, court personnel, and vendors Maintain organized electronic and physical case files Anticipate attorney needs and proactively manage workflow ________________________________________ What Success Looks Like in This Role Attorneys rely on you to keep their cases organized and on track Deadlines are consistently met without reminders Filings are accurate, timely, and require minimal revision You operate independently and reduce administrative burden on attorneys You contribute to overall efficiency and workflow within the firm Requirements Required Qualifications Minimum 5+ years of litigation legal secretary experience in Texas Insurance defense experience strongly preferred Experience supporting multiple attorneys (3+ minimum) Proven ability to manage a high-volume docket independently Strong knowledge of Texas state and federal e-filing systems Proficiency in calendaring deadlines and procedural rules Experience with trial preparation Strong document production and proofreading skills ________________________________________ Preferred Qualifications Experience working with insurance carriers and billing guidelines (UTBMS/LEDES) Familiarity with case management systems (e.g., Needles, ProLaw, Clio) Experience coordinating experts, depositions, and complex scheduling Prior trial “war room” support experience Experience with billing and time entry ________________________________________ Key Competencies Ownership Mentality: Takes full responsibility for assigned attorneys and cases Proactive Execution: Anticipates needs rather than waiting for direction Attention to Detail: Maintains accuracy across filings, deadlines, and documentation Time Management: Effectively prioritizes competing demands in a fast-paced environment Communication: Professional and confident in all interactions Problem Solving: Identifies issues early and resolves them efficiently
