We are looking to have a full-time bilingual (French/English) Senior Manager, Lease Administration join our team! This position can be held hybrid from Montreal, QC, Ottawa, ON or Markham, ON. SUMMARY The Senior Manager, Lease Administration is responsible for leading, directing and motivating the team responsible for managing BGIS property and lease database nationally. The Senior Manager role is responsible for the integrity of the client’s property database, accurate and timely reporting (including critical date recording), the generation of rental payments and the desk top lease audit function. Lease Administration staff reporting in to this position. The Senior Manager interacts with BGIS Senior Management, Client, and other key concerned parties and ensures a high standard of service excellence is maintained. KEY DUTIES & RESPONSIBILITIES Responsible for managing Lease Administration Managers and Lease Administration staff on various clients. Manage the Lease Administration team to ensure that all lease data is maintained and updated in accordance with the standards stipulated by the client and internal quality standards. Oversee the preparation of the monthly rent-roll to ensure that the monthly property expense is accurate and issued in accordance with the lease documentation. Responsible and overall accountability overall the payment of rent. Responsible for establishing, documenting and implementing lease administration best practices the department. Responsible for overseeing the preparation and review of all critical client reporting Communicate with the client’s Senior Management to ensure BGIS is acting in accordance with their goals and objectives; Assist and recommends lease management systems improvements and efficiencies to the Director. Oversee the day to day operations of the Lease Administration department and provide ongoing support to the Team Members Assist in the development of tools to leverage information, create cross contract synergies and increase efficiencies Advise, assist and support Senior Management in developing new business opportunities as it relates to lease administration and lease audits Responsible for BGIS desk top’ operating cost audit program and overseeing the Managers and other team members and Consultants delivering this service, including reports on the status of audits Ensure adequate internal controls are maintained with respect to the payment of invoices and rents pursuant to lease agreements and other agreements as well as internal audit compliance. Provides management direction to Managers within the Lease Administration group Recruit, hire and train new Team Members; maintain an effective succession planning strategy Maintain or appoint a Team Member to maintain content on client specific BGIS ’ web portal Often involved in RFP responses and demos of our Lease Administration system to clients Other duties as assigned ( ex New business initiatives etc) This position may provide oversight on the delivery of property tax payments, audit, assessment review and appeal functions for client owned properties KNOWLEDGE & SKILLS Strong capability of leading teams of staff University graduation or professional certification (e.g. P. Eng, CMA, CGA or equivalent courses) Minimum of 10 years of relevant work experience High level of integrity Strong customer service focus Excellent planning and organising skills Strong negotiation skills Strong software application skills Effective interpersonal skills Strong analytical and problem solving skills Strong written and verbal communication skills Good accounting skills Ability to work well under pressure and to work independently Ability to meet deadlines Strong leadership skills Knowledge of commercial real estate Strong communication skills Proficient with MS Excel is essential Licenses and/or Professional Accreditation Real Property Administrator Designation an asset Facility Management Administration Designation, an asset P.Eng, CMA or CGA is an asset This is a regular, full-time position with a salary range of $93,972 - $117,466 per annum.
