Description

COMPANY OVERVIEW

NextKey Services is a leading U.S.-based client services firm specializing in comprehensive accounting and financial reporting for small to mid-sized companies nationwide. We help entrepreneurs make confident decisions by delivering clear financials and proactive guidance. We are a remote-first team with U.S.-based leadership and a globally distributed delivery model.

POSITION SUMMARY

We’re hiring a Senior Manager of Operations on a part-time basis (25 hours per week). This is a hands-on internal operations role, not a client accounting seat. You’ll own execution across practice/workflow management, billing & proposals operations, SOPs/documentation, and capacity visibility so our delivery teams can do their best work. The ideal candidate brings a systems mindset, strong follow-through, and the ability to create clarity and momentum across a remote, high-performing team, and has prior experience inside an accounting, tax, or CFO services firm.

KEY REQUIREMENTS

  • 7+ years of operations and/or project management experience with at least 3 years inside an accounting, tax, or CFO services firm (required).
  • Proven ability to run cross-functional initiatives end-to-end in a remote setting.
  • Hands-on experience implementing/administering practice-management tools used by accounting firms and working alongside accounting platforms.
  • Excellent communication and stakeholder management; able to influence outcomes without formal authority.
  • Highly organized, detail-oriented, and comfortable prioritizing amid shifting needs and deadlines.
  • Ability to create clear documentation, quick-start guides, and training materials to drive tool/process adoption.

PREFERRED QUALIFICATIONS

  • Experience in adjacent professional services (e.g., audit/advisory, law, consulting)
  • Background with process improvement frameworks and change management.
  • Experience coordinating across time zones in a remote-first team.

Responsibilities

KEY RESPONSIBILITIES

  • Own internal operational execution across practice management, billing/proposals, and systems improvements.
  • Administer and optimize workflow/task management in the firm’s practice management system; evaluate and help implement complementary practice management tools (no specific platforms named).
  • Map the internal tech stack, identify gaps and redundancies, and drive process documentation and SOPs.
  • Coordinate cross-functional projects: establish timelines, manage dependencies and risks, and provide clear status updates.
  • Support capacity planning and resource coordination across client engagements; improve visibility and reporting.
  • Lead internal communications for assigned initiatives and facilitate change adoption and training across the team.
  • Liaise with team members and vendors to ensure alignment and follow-through.
  • Maintain process compliance, data hygiene, and secure access management (e.g., permissions, 2FA coordination).
  • Continuously identify and implement operational efficiencies that elevate delivery quality and team productivity.

WHAT THIS ROLE IS NOT

  • Not a bookkeeping/accounting close/tax-prep role (no recurring GL entry or tax production).
  • Not a client-service Controller or CFO seat.
  • Not 100% strategy/PMO role; this is execution-first and hands-on.
