SUMMARY:

We are seeking an experienced and highly motivated Senior Manager for Samples Management to join our team. The Senior Manager will oversee the daily operations for Direct to Prescriber (DTP) sampling programs, ensuring the timely delivery of samples to healthcare professionals (HCPs). This role involves collaboration with internal teams and external partners, managing inventory, leading improvement projects, and ensuring compliance with regulatory requirements.
The role works closely with the Brand Teams, Sales, and the cross-functional teams on execution of all samples programs across the BMS portfolio.
This is an important role within the Worldwide Commercialization Strategy & Operations Organization and key to Bristol Myers Squibb’s ambition to continue advancing the efficient and expeditious execution of field operations. In this position, this individual will report directly to the Associate Director, Field Administration which includes Samples Management.

Qualifications:

  • Minimum of 7 years of experience in pharmaceutical or healthcare samples management.
  • Minimum level of education: Bachelor’s degree.
  • Strong understanding of regulatory requirements and compliance in sample distribution.
  • Enterprise mindset with demonstrated ability to assess and streamline business processes.
  • Ability to navigate complex and continually evolving organizational environments.
  • Project management Experience working in a multi-channel environment and ability to work in a matrix team setting.
  • Strong written and verbal communication and presentation skills.
  • Experience working with leadership and communicating directly with senior leaders.
  • Ability to learn new technology and systems quickly
Responsibilities

Oversee and manage daily operations for Direct to Prescriber (DTP) sampling programs to ensure timely delivery of samples to HCPs, including, but not limited to:

  • Collaborating with internal matrix teams and external business partners daily to address DTP sampling issues consistently and timely.
  • Addressing field inquiries and escalations related to sample distributions procedures.
  • Monitoring business rule violations on sample requests, notifying appropriate remote sales or field employees when issues require support for timely order processing.
  • Performing routine quality control of sampling data to identify trends or system-related issues/anomalies, and escalating as needed.
  • Managing inventory for all components required to support sample distribution.
  • Leading loss in transit investigations for DTP sample shipments to support regulatory reporting.
  • Lead small-scale projects aimed at improving the sample management process and customer experience.
  • Monitor appointment scheduling for sample deliveries to reps to ensure timely receipt.
  • Support launch readiness initiatives for new DTP sampling programs.
  • Provide subject matter expertise to support field training on Sample Management procedures.
  • Coordinate large sample returns for short-dated product recalls or voluntary return programs.
  • Evaluate anomalies identified during routine monitoring of sample activities as part of program designed to detect sample diversion, and escalate for investigation as appropriate.
  • Plan for change management/training in support of new sampling system functionality/processes.
  • Ensure processes are in place to meet transparency reporting requirements for sample distribution and perform quality control checks on state/federal sample distribution transparency reports prior to submission to regulatory agencies.
  • Provide cross-coverage for operational activities related to representative-delivered sampling programs, as needed.
