Description
Your Impact Through Innovation Front Desk & Office Presence * Greet employees, visitors, and vendors, directing them as appropriate * Manage incoming calls, messages, and general inquiries * Maintain a professional, organized, and welcoming front desk and office environment * Support visitor access and coordination for overall office flow Office Coordination & Day-to-Day Operations * Coordinate meeting room bookings, setup, and readiness * Manage office supplies, kitchens, and shared spaces to ensure they are stocked and organized * Support day-to-day office flow and maintain common areas * Log and follow up on building-related requests with the Facilities team * Assist with workspace setup for new hires and internal moves Administrative Support * Support the Office Manager and on-site leadership with meeting logistics (room bookings, setup, materials) * Support preparation and submission of leadership expenses through the company’s expense system * Assist with petty cash tracking and basic reconciliation * Coordinate incoming and outgoing mail, including internal distribution between buildings Employee Experience & Corporate Activities * Support onboarding logistics at the site level (workspace setup, coordination) * Coordinate CEO/new hire welcome meeting logistics and invitations * Maintain and update digital signage (e.g., new hires, announcements, headshots) * Support the Office Manager with Corporate events Systems & Access * Maintain and update building access (e.g., access cards, guest passes) * Support office security processes in coordination with Facilities and IT * Maintain accurate records related to access and security systems  Other duties as required Your Unique Expertise REQUIRED SKILLS: * Completion of post-secondary education in Business Administration or a related field  * 3 to 5 years of experience in office administration or a similar role * Experience supporting expense submissions and familiarity with expense management systems such as SAP Concur * Strong organizational and time management skills * Professional, approachable, and service-oriented * Strong communication skills across all levels * Proficiency in Microsoft Office * Ability to manage multiple priorities and follow through independently * High attention to detail ASSET SKILLS: * Experience in a corporate or multi-site office environment * Experience supporting leadership or coordinating office-wide activities * Familiarity with office systems (e.g., access control, visitor management, digital signage tools) Our Distinctive Edge * Effortless commute: say goodbye to commuting challenges/hassles with our complimentary shuttles and subsidized transit options, making your journey to work a breeze. * Work-life integration: Embrace a well-balanced work-life rhythm through our hybrid model and flexible hours, empowering you to thrive both personally and professionally. * Making a difference: Be a force for good with one dedicated day off for impactful volunteering, supporting causes close to your heart. * Nurturing your career: Propel your career forward with abundant opportunities for on-site training, workshops, and personal development. * Rewards that count: Reap the benefits of our comprehensive rewards package, including tuition reimbursement and a health spending account. * Unleash your spirit:  Join a thriving workplace culture filled with employee-led clubs, campaigns, sports teams, and exhilarating activities – fostering camaraderie and fun.
