REQUIREMENTS

  • Minimum 2 years’ experience in a fast-paced office support or administrative role
  • Demonstrated project management experience, able to juggle multiple priorities
  • Strong knowledge of Health & Safety processes and best practices
  • Excellent verbal and written communication skills
  • Confident and assertive in enforcing office policies and upholding standards
  • Outstanding customer service skills with a warm and approachable manner
  • Exceptional time management and organisational abilities
  • Confident using tools such as Microsoft Office and Outlook

Responsibilities

THE ROLE:

We’re looking for an experienced and proactive Senior Office Assistant to work closely with and support our Office Manager in ensuring the smooth and efficient running of our workplace. This dynamic role combines day-to-day operational support with high-level project coordination across travel, facilities, health and safety, and event planning.
The ideal candidate will bring strong project management skills, impeccable attention to detail, and a high level of professionalism and customer service. You’ll be someone who enjoys taking on a variety of tasks and thrives in a fast-paced and dynamic environment.

RESPONSIBILITIES:

  • Organising company-wide events and team building activities; creating proposals, managing a budget, liaising with external suppliers
  • Assisting with projects such as office expansions, desk moves and health and safety reviews/audits
  • Liaising with the Building Management Team and Landlords to resolve issues in the office
  • Responding to and actioning front desk enquiries and requests from employees and external visitors
  • Overseeing daily office tasks and ensuring completion (post handling, kitchen restocks, stationery and branded goods orders)
  • Onboarding new starters; create welcome packs, arrange intros with relevant teams, carry out New Starter Inductions with HR
  • Offboarding leavers; collecting their equipment, restricting access to office,
  • Identify and escalate any office-related issues or incidents to the Office Manager, and resolving if possible
  • Arranging meetings with external suppliers and contractors
  • Arranging flights and hotels for international travel, as well as booking restaurants and other trip requirements, in line with company policies
  • Keeping employees updated with company-wide updates
  • Responding to and keeping on top of the Office Management inbox
  • Look after visitors by greeting, welcoming, directing them appropriately, and notifying the relevant colleagues
  • Arranging couriers, including to deliver equipment for new starters starting remotely
  • Ensuring meeting rooms are adequately tidy and setting up meetings as required (ordering breakfast/lunches and making drinks)
  • Organise employee benefits (booking massage therapist, ordering birthday cakes, setting up lunch each day)
    Salary £36,000 per year.
