SKILLS AND EXPERIENCE

  • 5 GCSEs including English and Maths at Level 5/grade B, or equivalent
  • Previous experience as an Administrator and PA
  • Type at a speed of 50wpm, but accuracy is more important
  • Good use of English grammar
  • Attention to detail
  • Strong organisational skills; experience in developing presentations for team members; excellent interpersonal communication skills in order to liaise with people at all levels
  • Experience working in a professional services firm is preferred
  • Advanced MS Office, including Intermediate Excel, PowerPoint and Outlook
  • Team player; works well under pressure; proactive; quick learner; flexible; approachable
  • Able to communicate succinctly, both verbally and in writing
  • Proactive with the ability to work on own initiative, but also as part of team
  • Ability to develop professional relationships, be approachable, flexible and diplomatic

Responsibilities

ROLE OVERVIEW

To provide daily, flexible, proactive administrative support to all members of the Business Services and Business Tax Teams.

DUTIES AND RESPONSIBILITIES

  • Assist the Senior Manager (Administration) to provide administrative support to all relevant teams.
  • Provide secretarial/PA support to assigned team Partners, Directors and members.
  • Sort and distribute post to Partners, Directors and team members.
  • Proactively manage Partner and Director diaries.
  • Take clear and sufficiently detailed telephone and other messages in the absence or unavailability of the Administrators, Partners or Managers and ensure that such messages are passed on promptly.
  • Produce accounts and management reports, including financial statements, in a timely manner.
  • Take responsibility for raising bills, as and when required.
  • Assist with the organisation of team meetings and social events.
  • Assist with the production of any marketing related material and the organisation of events in conjunction with the Marketing Team.
  • Provide cover in the absence of other team administrators.
  • Take a proactive role in the management of team processes, providing feedback as required.
  • Produce documents from handwritten notes in the style and layout required by the author.
  • Respect and maintain the confidentiality of the processed material and ensure that any regulations concerning security or confidentiality (such as safeguarding passwords) are complied with.
  • Take an interest in the operation of the Business Services and Business Tax teams so that you are aware of current work.
  • Organise, attend, and minute various internal management meetings.
  • Assist with the iXBRL tagging process ensuring that all accounts have been tagged.
