Responsible for reviewing and accurately processing multi-state payroll on a bi-weekly basis for accuracy and compliance with policies, reconcile all bi-weekly payroll deductions, prepare and review quarterly payroll tax filings for federal and multiple states, and prepare annual W2 reports. The Senior Payroll Analyst communicates with individuals at all levels of the organization while maintaining confidentiality and professionalism.

Essential Responsibilities:

  • Review and process payroll on a bi-weekly basis for over 1,800 employees in multiple states.
  • Review and process ad-hoc items including but not limited to: PTO cash-outs, retro adjustments and off-cycle payments.
  • Respond to employee inquiries regarding all payroll-related items.
  • Reconcile and process payments for all payroll deductions on a bi-weekly basis.
  • Responsible for collaborating closely with both HR and Sales departments to process monthly internal sales commission payments, as well as managing communications and conducting research regarding any discrepancies.
  • Responsible for reviewing the bonus calculations from Workday for quarterly and annual payments.
  • Prepare quarterly and annual payroll tax filings for federal and multiple states.
  • Reconcile W-2 information and prepare annual W-2 reports for all employees.
  • Work with Human Resources and Finance departments to implement and maintain new departments, locations, regions, and other work tags within Workday.
  • Maintain time keeping and other reporting as necessary within Workday.
  • Coordinate Payroll testing in Workday during upgrades, new releases, and integrations.
  • Assist with annual retirement plan and workers compensation audits.
  • Prepare annual employee Health/Disability/FSA 5500 filings.
  • Prepare various ad-hoc payroll reports and gather records.
  • Responsible for process improvement and working with other teams within Finance and HR to improve interdepartmental processes. Utilize lean methodologies for continuous improvement.
  • Assist in the implementation of regulation and compliance changes related to payroll requirements in all applicable states.

  • Handle confidential material in a professional manner and interact and communicate with individuals at all levels of the organization.
  • Meet department and company performance and attendance expectations.
  • Follow the PacificSource privacy policy and HIPAA laws and regulations concerning confidentiality and security of protected health information.

SUCCESS PROFILE

Work Experience: At least five (5) years of payroll experience performing similar duties. Experience processing complex internal sales commissions as part of payroll strongly desired. One year in a multi-state payroll internal processing environment preferred. Time-keeping administrator experience preferred. Workday experience preferred.
Education, Certificates, Licenses: Associate’s degree in Accounting, Finance or related field, or equivalent combination of education and experience required. Certified Payroll Professional designation a plus.
Knowledge: A comprehensive understanding of payroll and business practices. Ability to interpret and operationalize complex policies as they relate to payroll. Systems analysis and documentation skills, including proficiency in Excel. Ability to meet deadlines and maintain confidentiality. Detail-oriented with strong organizational, analytical and time management skills. Strong interpersonal skills and a team-first attitude. Experience with payroll processing and familiarity with federal and state payroll tax filing requirements.
