Responsibilities: Comprehensive handling of processes related to employee hiring and termination (contracts, annexes, notices, terminations, employment certificates) Creating and maintaining electronic personnel files in compliance with current regulations Registering and deregistering employees with the Social Insurance Institution (ZUS) Managing changes in employment conditions, working hours, pay rates, positions, etc. Issuing employee certificates (employment, earnings, for external institutions) Preparing payroll for various employee groups (employment contracts, mandate contracts, work contracts, appointments), including allowances, bonuses, deductions, overtime, and non-wage benefits Calculating and verifying payroll accuracy, monitoring payroll data correctness in the system Handling enforcement deductions, alimony, and other wage garnishments Preparing and submitting declarations to ZUS, PIT, PFRON, GUS, PPK Maintaining working time records – monitoring attendance, leave, sick leave, overtime, etc. Managing vacation, special leave, unpaid leave – recording and calculating limits Providing information and explanations regarding payroll settlements, absences, etc. Participating in payroll and HR audits and preparing required documentation Keeping up to date with changes in labor law, tax law, social insurance, PPK regulations and their impact on HR and payroll processes Ongoing contact with authorities and external institutions, preparing documentation during inspections Co-development and improvement of the HR and payroll system: Testing new features and updates of the HR and payroll system Reporting errors and irregularities – cooperating with the Development Team on diagnosis and resolution Proposing changes and improvements based on daily work experience and user feedback Verifying the accuracy of calculated data in the system (e.g., payroll lists, contributions, reports) Participating in internal team meetings and cross-team meetings to understand payroll processes, regulation updates, or coordinate team activities Requirements: Higher education (preferred fields: Human Resources Management, Economics, Administration, Law, but not mandatory) Minimum 2 years of experience in a similar position, preferably in an outsourcing company or servicing multiple clients Practical knowledge of labor law, social insurance, tax regulations, and GDPR Experience in using HR and payroll systems (knowledge of Optima software will be an asset) Knowledge of Płatnik software and ZUS PUE portal Good knowledge of MS Office, especially Excel Communicative level of English Ability to work under time pressure and in a dynamic environment High accuracy, attention to detail, and responsibility Teamwork skills and good communication Client-oriented approach and high personal culture From many places, we work as one, moving from better to best together.
