Position Overview:
The Senior Payroll Tax Accountant is a key member of the payroll team, responsible for managing all aspects of payroll tax compliance and reporting across local, state, and federal jurisdictions. This role coordinates with ADP to ensure the accurate and timely filing of tax returns, amendments, payments, and reconciliations, while maintaining full compliance with evolving tax regulations. The incumbent will perform detailed internal audits and account reconciliations to uphold the integrity of payroll tax data and resolve discrepancies proactively. A strong focus on precision, analytical rigor, and process improvement is essential.
In addition to technical expertise, the Payroll Tax Accountant will collaborate cross-functionally with departments such as HR, Legal, and Finance to support business expansions, acquisitions, and new entity setups. This includes providing tax guidance on payroll impacts related to operational changes and location transitions. Success in this role requires a high level of conscientiousness, patience, and the ability to navigate complex tax requirements with confidence and clarity.

Job Qualifications:

  • 5+ years of progressive experience in payroll tax accounting or payroll operations, including multi‑state and local jurisdictions.
  • 3+ years of direct exposure to payroll tax compliance, filings, amendments, reconciliations, and notices from agencies.
  • Certified Payroll Professional (CPP) is a plus.
  • Bachelor’s degree in accounting, finance, or related field, preferred.
  • Deep knowledge of federal, state, and local payroll tax regulations, including evolving legislative changes and required filings.
  • Proven ability to lead internal audits, tax reconciliations, error tracking, and root cause analysis to ensure accuracy and regulatory compliance.
  • Familiarity with tax issues related to fringe benefits, garnishments, multi-state payroll, and executive compensation.
  • Strong analytical and problem-solving skills with high attention to detail.
  • Excellent written and verbal communication skills.

Location Requirement:
This role is located in Tempe, Arizona. This position is required to be in office 4 days per week (Mon-Thurs); Fridays are optional remote work days.

Key Result Areas (KRAs):

  • Maintain payroll tax setup within Workday, including adding new tax jurisdictions, updating rates, and ensuring accurate configuration for all relevant entities and locations.
  • Serve as the primary point of contact for tax setup requests and changes, coordinating directly with ADP and HRIS to implement updates.
  • Research and assign appropriate local tax codes for employees based on work and residence locations; ensure accurate tax profile updates during onboarding or location changes.
  • Conduct weekly audits of employee records in impacted jurisdictions to identify and correct missing or incorrect local tax assignments, ensuring ongoing compliance and accuracy.
  • Lead the development of foundational tax processes and internal controls, including documentation of workflows, SOPs, and best practices for scalable growth.
  • Partner with Legal, Tax, and HR teams to facilitate new tax account registrations, monitor progress, and track account credentials and notices through to completion.
  • Maintain and organize payroll tax documents, agency correspondences, account credentials, and supporting records on internal servers or designated systems of record for audit readiness and operational continuity.
  • Monitor changes in federal, state, and local tax legislation, evaluate business impact, and drive required updates to systems and processes proactively.
  • Support the timely and accurate filing of payroll tax returns, deposits, and reconciliations, including quarterly and annual filings such as Forms 941, 940, W-2, and state equivalents (in coordination with outsourced providers where applicable).
  • Coordinate timely estimated payments for stock compensation and special pay transactions.
  • Review and ensure proper posting of payroll tax entries to the general ledger; perform regular reconciliations of related accounts.
  • Research and resolve payroll tax issues and notices from taxing authorities, coordinating with payroll providers and internal teams as necessary to ensure resolution.
  • Assist in system implementations or enhancements involving payroll tax configuration, including testing, validation, and user training.
  • Identify opportunities for process improvement and automation, helping to reduce risk and improve tax compliance efficiency.

Skills:

  • Organized with effective prioritization and time management.
  • Analytical with attention to detail.
  • Proficiency in Microsoft Excel and other Office applications.
  • Experience with D365 or other ERP systems, Workday, and ADP Smart Compliance.
  • Collaborative with effective verbal and written communication skills.

Physical Requirements:

  • In-Office Environment: Must be able to work in a busy, crowded, and loud office with frequent distractions and interruptions
  • Must be able to collaborate in-person with occasional impromptu in-person meetings
  • Office Conditions: Adaptability to typical office conditions, which may include exposure to air conditioning, heating, artificial lighting, and varying noise levels
  • Mobility: Ability to sit, stand, reach, twist, stretch, and work at a desk for long stretches. Must be able to occasionally move or lift office items up to 25 pounds
  • Hearing Requirements: Hearing must be sufficient or correctable to ensure clear understanding of spoken information, including participating in virtual meetings and phone calls. Use of hearing aids or other assistive devices is acceptable if needed.
  • Reading and Writing Proficiency: Ability to read and write in English is essential for processing documents, drafting reports, and following up on necessary actions. Proficiency in written communication is required to handle job-related tasks effectively.
  • Vision Requirements: Vision must be adequate or correctable to perform essential job duties, such as reading documents on a computer screen and using other visual tools. Use of corrective lenses or other measures to meet visual requirements is expected if needed.
  • Technology Proficiency: Must be proficient in operating a computer and other office productivity tools such as printers, scanners, and collaboration software.
  • Effective Communication: Must possess strong verbal and written communication skills to interact effectively with team members, clients, and other stakeholders via email, video conferencing, and other in office communication tools.

Compensation:
The minimum expected salary for the position is $76,508.50 and may increase depending on experience.
