Position: Hybrid - Work from home with travel required and some onsite work
Hours: For the full-time position - 40 hours per week
For the part-time position - under 30 hours per week
Location: London, Ontario and surrounding areas
Pay: For the full-time position - a range of $50,000 to $58,000 salaried per year
For the part-time position - a range of $24 to $28 per hour

Responsibilities

PURPOSE OF THE POSITION:

The Senior Manager is responsible for supporting the Property Administration Staff. The Senior Manager will provide supervision and support to the Property Administrators in their day-to-day roles.

RESPONSIBILITIES

  • Ensure the Property Administrator’s are managing and administering all of their duties in order to ensure the services promised are delivered and maintained in an effective and efficient manner:

Main Activities

  • Protect the Property Management Contract between Apex and the Property
  • Implement and administer policies and procedures when needed
  • Build relationships and liaise with the Board of Directors
  • Represent Apex well when attending any local, regional, territorial and national meetings
  • Manage and supervise Property Administrators
  • Support your staff in the management of contracts and contractors
  • Respond to and manage crisis and/or emergency situations
  • Access other funding opportunities and prepare proposals for funding
  • Prepare and implement strategic and operational plans
  • Ensure the Property Administrators are supporting the management and administration of all financial responsibilities and obligations in order to ensure that each property is operating within established financial legislation, terms and conditions:

Main Activities

NOTE: all activities would be done in coordination with the Finance Team

  • Ensure the provision of required financial information to the Board of Directors on a monthly basis (Financial Report and Financial Statements)
  • Coordinate with the Finance Team and Property Administrator in the preparation and submission of budgets for Board approval
  • Manage and administer accounts and reserve funds
  • Ensure the fulfillment of all established internal financial controls
  • Ensure the management of accounts payables and receivables and payroll and benefits
  • Analyze financial reports and conduct financial analysis
  • Assist the Finance Team and the Property Administrator with completion of audits and follow up on Auditor’s recommendations
  • Ensure strong communication takes place between all staff
  • Ensure the Property Administrators are supporting the management of ongoing maintenance of housing units in order to ensure that all housing is safe and maintained within established codes and standards

Main Activities

NOTE: all activities would be done in coordination with the Property Maintenance Supervisor

  • Ensure strong communication takes place between all staff
  • Support maintenance staff in assessing and prioritizing work, as needed
  • Supervise the maintenance management program, as needed
  • Review and analyze maintenance reports and unit condition ratings
  • Maintain internal controls and standards concerning maintenance and repairs
  • Identify operational requirements and ensure required measures are taken
  • Provide monthly reporting on maintenance activities to the Board of Directors
  • Provide support and advice to The Senior Leadership Team in order to ensure they are aware of operations and able to make informed decisions

  • Provide regular updates on staff development
  • Provide regular updates on the affairs of each property you oversee
  • Provide feedback on areas of growth for the organization
  • Support The Senior Leadership Team in decision making
  • Provide support to Property Administrators in the management of tenant relations in order to ensure that tenants needs are reasonably met and that tenants comply with the terms and conditions of their agreements

Main Activities

  • Liaise with tenants regarding issues and concerns
  • Support the preparation and presentation of cases to the Landlord & Tenant Board
  • Respond to tenant’s needs
  • Enforce tenant policies such as the tenant damage policy
  • Perform other related duties as required

The Senior Manager reports to the Chief Operating Officer and has a functional reporting relationship with the CEO. They are responsible for supporting the Property Administrator’s in each of their properties. They will help ensure that the following duties are fulfilled by the Property Administrators:

  • Leading by example within the vision and values of Apex
  • Tenant Relations
  • Processing of Rent Collections
  • Addressing of Arrears
  • Monthly Board Reports
  • Maintenance (role will vary dependent on whether Apex provides maintenance)
  • Ensuring that Tenants comply with By-laws and Policies
  • Staff Relation
