TỔNG QUAN / OVERVIEW: Quản lý cấp cao chịu trách nhiệm giám sát các hoạt động vận hành tại các dự án phụ trách, nhằm đảm bảo chất lượng dịch vụ, tuân thủ các quy định của pháp luật hiện hành và công ty / Senior Property Manager is responsible for supervising operational activities at assigned projects to ensure service quality, compliance with current legal regulations, and company policies. TRÁCH NHIỆM CÔNG VIỆC / RESPONSIBILITIES: 1. Công tác vận hành / Operational activities: Hướng dẫn, huấn luyện các Trưởng ban quản lý tòa nhà thực hiện các công tác vận hành tuân thủ theo đúng quy trình chuẩn của Savills / Guide and train Property Managers to carry out operations in compliance with Savills' standard procedures. Hướng dẫn và giám sát Trưởng ban quản lý tòa nhà xây dựng ngân sách giai đoạn tiền khai trương và ngân sách vận hành / Guide and supervise Property Managers in establishing pre-opening budgets and operational budgets. Đảm bảo 100% các dự án luôn cập nhật và sử dụng đúng các biểu mẫu vận hành tiêu chuẩn / Ensure that 100% of projects always update and use the correct standard operating forms. Đảm bảo tất cả các tài liệu quan trọng bao gồm nhưng không giới hạn các Biên bản nghiệm thu thiết bị, Biên bản bàn giao các loại tài sản, thiết bị, Hợp đồng bảo trì các loại, Hợp đồng bảo hiểm tòa nhà phải được lưu giữ đầy đủ và cập nhật thường xuyên trên Property Cube / Ensure that all important documents including but not limited: Equipment Acceptance Minutes, Handover Minutes for various assets, maintenance contracts of all kinds, building insurance contracts are kept complete and regularly updated on Property Cube. Kiểm soát các loại báo cáo của dự án thông qua hệ thống Property Cube, bảo đảm dự án cập nhật đầy đủ kế hoạch, thời gian thực hiện và báo cáo đặc biệt đối với công tác bảo trì hệ thống / Control project reports through the Property Cube system, ensuring projects update comprehensive plans, implementation timelines, and special reports for maintenance tasks. Giám sát việc thông tin Khách thuê được cập nhật đầy đủ lên hệ thống Property Cube / Monitor the updating of tenant information to ensure it is fully updated on the Property Cube system. Đảm bảo nhân viên dự án đặc biệt là Trưởng ban quản lý tòa nhà và Kỹ sư trưởng phải sử dụng thành thạo các chức năng trên Property Cube / Ensure that project staff, especially Property Managers and Chief Engineers, are proficient in using functions on Property Cube. Giám sát các nhà thầu phụ: nhà thầu bảo trì điện, dịch vụ an ninh, diệt côn trùng, nhà thầu chăm sóc cây cảnh, dịch vụ vệ sinh, và dịch vụ vệ sinh mặt ngoài tòa nhà... / Monitor subcontractors: electrical maintenance contractors, security services, pest control, landscaping contractors, cleaning services, and external building cleaning services... Kiểm tra định kỳ và ngẫu nhiên thực tế dịch vụ tại dự án bao gồm nhưng không giới hạn các dịch vụ vệ sinh, bảo vệ, cảnh quan, diệt côn trùng, thu gom rác v.v / Regularly and randomly inspect the actual services at the project, including but not limited to cleaning, security, landscaping, pest control, garbage collection, etc. Kiểm tra định kỳ và ngẫu nhiên thực tế vận hành hệ thống quản lý bãi xe đảm bảo nhân viên (nhà thầu hoặc nhân viên nội bộ) thực hiện đúng quy trình vận hành, quản lý thẻ, quản lý xe, quản lý doanh thu xe vãng lai / Regularly and randomly inspect the operation of the parking management system to ensure that staff (contractors or internal staff) follow the correct operating procedures, manage cards, manage vehicles, and manage revenue from visitor parking. Kiểm tra và so sánh công việc thực tế và công việc được thể hiện trên hợp đồng dịch vụ đảm bảo đủ đầu công việc và đạt yêu cầu vế chất lượng / Check and compare actual work with work specified in the service contract to ensure that the scope of work is sufficient and meets quality requirements. Chủ động theo dõi mức tiêu thụ tiện ích và thúc đẩy nhân viên đưa ra các ý tưởng tiết kiệm năng lượng hoặc chi phí cho dự án / Proactively monitor utility consumption and promote staff to put forth energy or project funds-saving ideas. Đại diện cho Savills Việt Nam làm việc với Chủ đầu tư hoặc chính quyền địa phương hoặc bất kỳ người nào khác dưới bất kỳ hình thức nào liên quan đến việc quản lý tài sản nói chung / Represent Savills Vietnam when work with Developer or local authorities or any other person whomsoever in any way concerning the general property management. Hướng dẫn và hỗ trợ Trưởng ban quản lý tòa nhà và Kỹ sư trưởng tiếp đón và làm việc với cơ quan chính quyền địa phương / Guide and support Property Managers and Chief Engineers to work with local government authorities. Xây dựng mối quan hệ tốt với chính quyền địa phương / Develop good relationship with the local authority. 2. Quản lý Ngân sách / Budget management: Đảm báo các dự án xây dựng Ngân sách đúng hạn / Ensure that projects build budget on time. Đảm bảo các dự án báo cáo nghiệm thu chất lượng dịch vụ đúng hạn / Ensure that projects submit Quality service acceptance reports on time. Giám sát, đôn đốc đảm bảo công tác thu hồi công nợ kịp thời / Supervise and follow up debt collection on time. Đảm bảo các dự án vận hành bám sát theo ngân sách đã được duyệt / Ensure that operational projects closely follow approved budgets. Đảm bảo cân đối ngân sách lương nhân viên tại dự án không vượt quá mức quy định / Ensure that employee salary budgets at the project do not exceed approved staff cost. Đảm bảo các khoản chi tại dự án phải tuân thủ tiêu chuẩn vận hành của Savills cũng như quy chế thu chi tài chính tại dự án / Ensure that expenses at projects comply with Savills' operational standards as well as financial expenditure regulations at the project. 3. Quản lý nhân sự / Personnel management: Đảm bảo nhân viên luôn tuân thủ các quy chuẩn về đạo đức và các quy tắc ứng xử của Savills / Ensure employees always adhere to Savills' ethical standards and codes of conduct. Kiểm soát Tỉ lệ Trưởng ban quản lý tòa nhà tham gia họp giao ban hàng tuần công việc / Monitor the percentage of Property Managers participating in weekly meetings. Tổ chức đào tạo chuyên môn cho các Trưởng bản quản lý Tòa nhà, đảm bảo Quản lý tòa nhà được cập nhật đầy đủ khi Tiêu chuẩn vận hành thay đổi / Organize professional training for Property Managers to ensure they are fully updated when operational standards change. 4. Báo cáo / Reports: Đảm bảo các báo cáo tháng, quý đúng hạn, chính xác / Ensure monthly and quarterly reports are submitted on time and accurately. Các công việc khác theo yêu cầu của cấp trên / Other assigned tasks by Line Managers. YÊU CẦU CÔNG VIỆC / REQUIREMENTS: Tốt nghiệp Đại học trở lên chuyên ngành Quản trị kinh doanh, Quản trị khách sạn hoặc các lĩnh vực liên quan / Graduate from University majoring in Business Administration, Hospitality or a related field. Bằng cấp, chứng chỉ về Quản lý tòa nhà / Certification in Building Management. Mạnh về kỹ năng ứng xử, đàm phán và giao tiếp, để giao tiếp với đồng nghiệp, khách hàng và các bên liên quan khác / Strong interpersonal, negotiation and communication skills, for liaising with colleagues, customers and other stakeholders. Ít nhất 7 năm kinh nghiệm làm việc trong ngành Quản lý Bất động sản… / At least 7 years experienced in Property Management field. Tiếng Anh thành thạo (cả nói và viết) / Proficient English (both speaking and writing). Kỹ năng giao tiếp, ứng xử và các kỹ năng viết / Excellent communication, interpersonal and writing skills. Chủ động, có năng lực, linh hoạt và sẵn sàng học hỏi / Proactive, competent, flexible and willing to learn. Kỹ năng tổ chức và quản lý thời gian tốt với khả năng làm việc đa nhiệm / Excellent organizational and time management skills with the ability to multi-task. Kỹ năng viết báo cáo và thuyết trình / Good at writing reports and presentations. Khả năng làm việc hiệu quả dưới áp lực / Ability to work effectively under pressure. Kỹ năng quản lý đội nhóm / Leadership skills.
