Job Summary:

  • Manage an allocated portfolio of buildings
  • Mentor and support a team of Property Managers and Support Staff
  • Providing management support across the regional portfolio
  • Developing and maintaining relationships with key clients - freeholders and RMC/RTM Directors etc
  • Business development
  • Regular face to face reporting of performance to senior team
  • Control and compliance with Health and Safety Requirements
  • Service Charge budgeting for own portfolio
  • Monitoring and assisting with budgeting for your own team
  • Contractor Management
  • Keeping an accessible audit trail of actions undertaken

Scope of role:

  • These tasks revolve round direct management of a portfolio
  • Conduct regular building inspections to include assessments for Health and Safety compliance
  • Control of central risk register along with diarised tasks from our database
  • Providing regular updates to senior team especially around exceptions from day-to-day management
  • Identifying maintenance requirements
  • Strong knowledge of Section 20 processes and major works
  • Management of HRBs
  • Ensuring CDM 2015 procedures are followed
  • Instruction and monitoring of appointed suitably skilled contractors
  • Assessment and approval of invoices ensuring the coding is consistent with the budgets
  • Preparation of service charge budgets and on-going monitoring to guard against overspend
  • Implementing reserve funds where necessary and maintaining adequate levels of reserves as appropriate. This may involve schedules of cyclical works/ planned maintenance
  • Supporting preparation of service charge accounts and sign off
  • Organising, attending and chairing AGM’s and Directors meetings outside of normal business hours where required
  • Ensuring building and other necessary insurances are adequate
  • Ability to step in and provide temporary management cover on blocks managed by other colleagues in the portfolio when on leave/sick
  • Develop knowledge of wider portfolio to assist Property Director in higher level management, issues including complaint handling and dealing with emergencies, as and when these arise.
  • Other tasks as requested by Directors

Qualifications & skills:

  • Previous experience working in Block/Estate Management for at least four years
  • Minimum A level standard or equivalent
  • TPI qualified (ATPI or MTPI)
  • Intermediate level ability to use Word, Excel and Outlook
  • Knowledge and understanding of relevant legislation
  • Knowledge and previous experience of Residential Property Repair and Construction
  • Strong Health and Safety Legislation experience and understanding
  • Understanding of leases and their implications
  • Ability to work to tight deadlines
  • Excellent time management and organisational skills
  • Car owner with a full clean licence - Work mileage paid - Employee responsible to ensure business use is included in their insurance.
  • Flexibility around working hours and travel requirements to buildings
  • Self-motivation with ability to make and present rationale for proposed decision

Job Type: Full-time
Pay: £40,000.00-£45,000.00 per year
