QUALITY ASSURANCE OFFICER JOB DESCRIPTION
Scholars School System is a project of UK CURRICULUM & ACCREDITATION BODY (UKCAB, a registered charity founded in 2006) having campuses across the United Kingdom, is looking for an Quality Assurance Officer across all campuses which includes Birmingham, Manchester, London, Bradford, Leicester campus based in the Birmingham campus.
Scholars School System is a national independent higher education provider, offering world class education. Taught programmes, ranging from Foundation Year through to Level 7, delivered in partnership with institutions such as Leeds Trinity University. Over 5000 (UK and EU) learners have successfully completed their learning journey in the last five years with the current student population is over 3000.
PURPOSE
Scholars School System is looking for a committed and experienced individual to join the team as a Quality Assurance Officer. This role will involve overseeing quality assurance processes and initiatives across all campuses. The successful candidate will play a vital role in maintaining accurate records and ensuring departmental compliance with the standards set by the Office for Students (OfS) and Leeds Trinity University, the degree-awarding body. The Quality Assurance Officer will be responsible for implementing quality assurance processes that ensure the institution’s documentation and procedures meet the requirements of key internal and external stakeholders, including the QAA, IHE, OfS, and LTU.
PRINCIPAL DUTIES AND RESPONSIBILITIES
· Provide comprehensive administrative support to the Quality Assurance Manager, Quality Assurance Team, and the Registrar’s Office.
· Regularly update the quality assurance calendar, including activities and engagements from relevant departments and the degree-awarding body.
· Monitor compliance with applicable OfS laws and regulations, accreditation standards from the degree-awarding body, and institutional policies of Scholars School System (SSS).
· Assist in the development, review, and implementation of institutional policies and procedures to ensure compliance and mitigate potential risks.
· Plan, conduct, and report on internal audits of departments, processes, and activities to assess compliance.
· Identify gaps or deficiencies within departmental activities and report findings to the Quality Assurance Manager for corrective action.
· Collaborate with representatives from the Registrar’s Office and/or Director of Operations to assess risk registers, identifying potential areas of non-compliance, fraud, or operational inefficiencies.
· Work with key stakeholders, including the Registrar’s Office and Director of Operations, to develop strategies for mitigating risks across the different SSS campuses.
· Maintain accurate and detailed records of audit findings, observations, and recommendations.
· Participate in periodic Quality Assurance field visits, conduct field studies, and report findings to senior management, Heads of Departments (HoDs), line managers, and committees.
· Provide training and guidance to staff on compliance requirements, policies, and procedures.
· Collaborate with colleagues to promote a culture of compliance and ethical conduct within the institution.
· Act as the primary point of contact for quality issues from QA representatives across campuses, including during audits and compliance reviews.
· Work with HoDs, centre managers, faculty, and other professional staff to identify opportunities for improving academic programmes, placements, retention, admissions, and student support and experience.
· Develop and deliver training sessions, workshops, and resources to assist campus personnel in understanding and implementing quality assurance practices and templates.
· Collect, analyse, and report on quality assurance data and key performance indicators from designated campuses to identify trends, assess effectiveness, and inform institutional decision-making.
· Foster a culture of continuous improvement by engaging with campus managers, faculty, staff, students, and external stakeholders to solicit feedback, address concerns, and promote accountability.
· Coordinate quarterly reviews, programme reviews, programme enhancement grids, and related activities, including preparing agendas, recording minutes, and tracking follow-up actions.
· Provide general administrative and clerical support to the Quality Assurance team, including responding to queries, maintaining electronic files, updating spreadsheets, and distributing documents related to quality assurance.
· Respond to information requests from colleagues by retrieving data from databases, spreadsheets, and other records and presenting it in an appropriate format.
· Ensure that data usage complies with regulations, especially those related to GDPR.
· Perform other duties as assigned by the Quality Assurance and Partnership Manager.
