POSITION OVERVIEW

We are seeking a highly organized, detail-oriented Office Manager / Senior Service Coordinator to join our team. This individual will work closely with the Director of Service to manage and coordinate our service department, ensuring smooth day-to-day operations and exceptional customer service.
The ideal candidate is proactive, process-driven, and comfortable working in a fast-paced environment where clear communication, organization, and leadership are key.

QUALIFICATIONS

  • 3–5+ years of experience in a service coordination, office management, or dispatching role (in the commercial HVAC field preferred).
  • Strong organizational and multitasking skills with a proven ability to manage competing priorities.
  • Excellent verbal and written communication skills, with a focus on professionalism and customer service.
  • Experience with service management or dispatching software (ServiceTitan in particular).
  • Detail-oriented with strong problem-solving skills and ability to build repeatable processes.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Responsibilities
  • Service Department Coordination
  • Partner with the Director of Service to oversee daily operations of the service team.
  • Manage customer communication, including scheduling, updates, and issue resolution.
  • Dispatch technicians efficiently to customer sites while balancing workload and priorities.
  • Review, prepare, and issue invoices accurately and on time.
  • Process & Systems Development
  • Establish and refine systems, processes, and workflows to ensure seamless functioning of the service department.
  • Implement tools and best practices to improve efficiency, transparency, and customer satisfaction.
  • Maintain accurate records, documentation, and reporting to support operational and financial performance.
  • Team Support & Leadership
  • Provide coordination and support to technicians, dispatchers, and administrative staff.
  • Serve as a point of escalation for customer issues, working to ensure timely and effective resolution.
  • Foster a collaborative, solutions-oriented team environment.
