Job Purpose Responsible for overseeing inventory, asset, and warehouse management across multiple camps. Ensures accurate stock control, compliance with safety and legal standards, and efficient reporting to support operational excellence. Key Accountabilities • Inventory Oversight: Oversee general inventory, asset, and warehouse management across multiple camps (rotational presence, not fixed at one location). Manage daily inventory operations, including receiving, storage, and distribution. • Stock Control: Implement systems to monitor usage, prevent shortages, and reduce wastage. Define re-order levels for each item/asset and ensure timely replenishment. • Reporting & Analysis: Update and maintain daily, weekly, monthly, quarterly, and annual inventory reports. Prepare ad hoc reports and data analysis for management decision making. Track and validate report submissions and accuracy from field teams. • Compliance & Safety: Ensure inventory handling meets safety, environmental, legal, and audit standards. Enforce FIFO (or other approved methods) to avoid expiry or damage. Maintain proper housekeeping and safety compliance at all stores. • Vendor & Service Coordination: Liaise with suppliers and service providers for timely delivery, repairs, maintenance, and quality assurance. Review technical proposals for inventory/asset related services and supplies. • Asset Management: Track and monitor assets issued to users weekly. Manage system requests for permanent and temporary asset assignments. Ensure proper storage conditions for sensitive items (electronics, chemicals). • Physical Checks & Audits: Maintain accurate documentation for inwards, outwards, asset issues, inter-camp transfers, and physical inventory checks. Conduct random audits and inspections to verify stock accuracy against system records. Support internal and external audits. • Disposal & Optimization: Identify and dispose of obsolete, damaged, or unused items following company policy. Implement inventory optimization techniques (e.g., ABC analysis, safety stock calculations). Monitor and minimize inventory shrinkage (loss, theft, damage). • Team Coordination & Training: Hold weekly meetings with field teams for updates and compliance checks. Conduct training sessions on stock management, reporting requirements, and system usage. Monitor KPIs of responsible persons at each location. • Continuous Improvement: Drive initiatives to enhance efficiency, reduce costs, and improve inventory processes. • Financial Controls: Act as Petty Cash Custodian (if assigned) and ensure disbursement aligns with company policies. Review petty cash invoices for compliance before submission to Finance. • Administrative Support: Request PRs for related items, assets, or services and follow up until delivery. Review and validate service and supply related invoices for accuracy and compliance. • Other Duties: Perform any other related tasks assigned by management. Skills & Competencies • Strong knowledge of inventory systems, asset management, and supply chain workflows. • Analytical skills for forecasting demand, defining reorder levels, and managing stock optimization. • Proficiency in preparing detailed reports and conducting data analysis for decision making. • Accuracy and attention to detail in documentation and compliance. • Ability to conduct audits and reconcile discrepancies effectively. • Vendor management and negotiation skills for timely supply and service delivery. • Knowledge of safety, legal, and regulatory requirements for inventory operations. • Familiarity with inventory optimization techniques (ABC analysis, FIFO/LIFO, safety stock). • Strong organizational and time management skills for multi location oversight. • Team leadership and training capabilities to ensure compliance and performance. • Problem solving and continuous improvement mindset. • Competence in using inventory management software and ERP systems. • Ability to monitor KPIs and enforce accountability across distributed teams. Minimum Qualifications & Experience • Bachelor’s degree in Supply Chain Management, Logistics, or related field. • 5–8 years of experience in inventory and asset management, preferably in multi-site operations.
