Description

Reporting to Manager, Workplace Management, you will be responsible for: monitoring, reviewing, keeping track of and controlling operating expenses (OPEX) and capital expenses (CAPEX) of the team; maintaining accurate spending record and filing of related payment record; supervising and coordinating with workplace operation team to ensure accurate bookkeeping record for tracking expense, status of purchase orders (PO), good receipt, invoicing and daily accounting functions, including but not limited to execution in payment and invoice process, create and/or review purchase orders (PO), petty cash handling and reimbursement; providing administrative and clerical support to contract management, such as new vendor registration, maintain an updated vendor list, collect user requirements for updating service specifications; providing administrative support to corporate vehicles services, including but not limited to planning and arranging vehicle maintenance, licence renewal and insurance related issue and coordinate with service provider on any matter related to employee shuttle services; coordinating with stakeholders for the arrangement and following-up action for record management service requests and general office supplies orders, including business cards ordering, stationery and office supplies coordination; assisting in preparing reports, including but not limited to monthly service reports and presentation deck; preparing incident reports, correspondence, letters, notices and SharePoint site update relating to workplace services; providing support for the meeting / staff events / corporate events, when required; and performing any other duties from time to time as reasonably assigned by the Authority. You should: possess a Higher Diploma or equivalent in Facilities Management / Property Management / Business Administration or equivalent; have minimum of 3 years of relevant working experience, prior experience in office administration, property or facility services is preferred; be a holder of valid Hong Kong Driving Licence Type 1 is an advantage; have excellent customer service and communication skills; be able to work independently under pressure; be proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and Word Processing. Experience in Microsoft 365 and ERP system (preferably Oracle) would be an advantage; and have good command of both spoken and written English and Chinese (including Cantonese and Putonghua).
