Job Description
As a Service Admin/Storeperson, you will provide essential administrative and clerical support while ensuring the smooth and efficient running of warehouse operations. You will play a key role in service invoicing, managing service jobs, and assisting with various administrative tasks in support of the wider team.

SKILLS AND QUALIFICATIONS:

• Customer and Mechanical background is highly desirable.
• Having worked as Service Coordinator in the automotive industry will be highly regarded.
• Strong attention to detail and high organisational skills.
• Must have experience working in a customer-focused role
• Excellent communication skills and confidence in answering phones
• Previous experience in a storeperson, warehouse, or inventory management role is highly desirable.
• Ability to work independently and as part of a team.
• Basic administrative skills and familiarity with documentation processes.
• Strong communication skills to liaise with team members and external parties.
• Knowledge of HSE procedures and commitment to workplace safety.
• Experience with inventory management software or basic computer literacy.
• Ability to lift and move heavy items safely (as required).
• Forklift license or willingness to get one.
• Sound computer skills

• Open internal and external service jobs in SAP, ensuring proper tracking and follow-up.
• Check and prepare invoices/proformas for internal and external service jobs and ensure timely invoicing.
• Order MR & NMR parts through SAP and BeQik2 systems, ensuring proper documentation and stock management.
• Organise medicals and site inductions for employees as required, ensuring compliance with all safety and operational requirements.
• Support with entering daily time sheets for service personnel, ensuring accuracy and completeness.
• Perform general clerical duties including answering phones, scanning, photocopying, filing, and other administrative tasks.
• Communicate with customers regarding invoicing inquiries, providing clear and timely responses.
• Support the HSE Officer in engaging contractors that meet the business requirements and operational needs.
• Perform other duties as required to meet the business and operational requirements of the team.
• Ensure the monthly completion of service invoicing is achieved within deadlines.
• Ensure the accuracy and integrity of monthly service invoicing, resolving any discrepancies promptly.
• Maintain effective communication with all business departments to ensure smooth operations and processes.
• Clean, tidy, and maintain the warehouse and goods receiving areas to uphold high standards.
• Manage and maintain critical spares required for servo room activities.
• Oversee the management and maintenance of spares for key customer accounts with service agreements.
• Process incoming goods, ensuring that correct documentation is received and forwarded to the admin department.
