JOB CONTEXT:

DG Pool & Leisure Ltd is based in Partridge Green, West Sussex and operates on a National basis.
As Service Administrator your role will primarily be to provide administrative & secretarial support to the Service Manager & Commercial Service Manager on a daily basis. This role will be very reactive and you must be able to multitask, have excellent attention to detail and be able to cope well under pressure. You will be first port of call for incoming telephone calls for Service Customers and Engineers. You will have a flexible approach to your work and be able to focus on the reactive needs of the business.
You will report to the Service Manager, who will be your immediate line manager with regard to your performance management and training.

QUALIFICATIONS

  • Good standard of general education
  • GCSE (or equivalent) grade C or above in English and Maths
  • Full Driving License to travel to work as our location is remote

KNOWLEDGE

  • Relevant knowledge and understanding in a similar role
  • Strong Microsoft Excel & Microsoft Word Skills
  • Knowledge of Sage 50 Accounts would be a bonus

EXPERIENCE

  • Previous experience in a similar role

Responsibilities

JOB PURPOSE:

To provide administrative support to both the Service Manager & Commercial Service Manager.

MAIN RESPONSIBILITIES AND TASKS:

  • Being the first port of call for all incoming telephone calls from Service customers and Engineers ensuring the calls are answered within 3 rings where possible
  • Ensure accurate messages are taken and escalated as appropriate
  • Ensure all emails are actioned in a timely manner
  • Ordering of materials
  • Responsible for Dealing with the “Goods In Process”
  • Preparing small quotes for customers
  • Liaising with Engineers via telephone and email
  • Ensure key training activities are up to date
  • Opening post and distributing accordingly
  • Producing sales invoices
  • General secretarial and office support as required
  • General filing and annual archiving
  • Contribute towards a clean and professional working environment. Strive to improve on general housekeeping standards
  • Provide hot/cold beverages for members of the office team and visitors
  • Be aware and highlight any Health & Safety risks or concerns for either yourself or others and escalate where necessary
