About the role:   Taren Point, NSW location Competitive Salary   Full-time permanent role Scheduling experience highly desirable   We are seeking a dedicated Service Administrator to join our dynamic team. You will be responsible for supporting our NSW service operations and ensuring customers receive exceptional service. As a Service Administrator, your primary focus will be to work closely with our security technicians, service managers, and customers to facilitate effective communication and maintain accurate records. Your efforts will directly be contribute to the overall success of the service department by helping manage service requests efficiently while maintaining a high level of customer satisfaction. This role requires a proactive attitude, strong organisation skills, and the ability to multitask in a fast pace environment. You will be instrumental in managing technician schedules, daily operations, allocation of jobs, managing incoming calls and invoicing and generating of reports. Our successful operations have expanded internationally, and this growth is underpinned by superior performance and the strength of our relationships.   Key Duties include:  Daily Operations and Administration: Serve as the primary point of contact for customer service inquires and requests  Coordinate schedules for service technician and ensure they are equipped for their day-to-day operations.  Answer all incoming calls and triage enquirers or re-directing as appropriate  Issuing of Job cards, Work orders, Purchase orders  Manage all invoicing and accounts payable responsibilities Ordering materials for approved works  Liaise with subcontractors and clients to ensure service standards achieved Create and maintain appropriate data systems in relation to files including invoices, contract information, client data, site information and contact details     Invoicing: Invoicing completed Jobs Weekly invoicing including manual invoices and credit notes Ensure all information has been communicated for establishment of accounting details for new sites, new rates for customers to correctly invoice a customer Resolve ad hoc customer queries Code invoices and completion of accounts payable Operations, Administration, and Reporting: Maintain standard operating procedures. Manage overheads like stationery and consumables. Maintain filing systems for installation files and client data.   General Duties: Adhere to and model Company values and policies. Ensure health and safety compliance. Participate in the annual PDR process. Follow company policies and legislative requirements. Complete directives from the Manager.   Skills and requirements: Minimum 2+ years of experience in Administration, Accounts Payable, or Accounts Receivable Scheduling experience is highly regarded Proficiency in Microsoft Office Suite (Word, Excel, Outlook) Exceptional communication and organisational skills Strong customer-centric focus Ability to work efficiently as part of a team Demonstrates initiative and sound judgment Confident interpersonal and communication skills Advanced computer skills and ability to quickly learn new systems Ability to build relationships at all organisational levels Maintains confidentiality High-level administrative skills with strong attention to detail Ability to work in a fast-paced environment         Qualifications and Experience:   Cert IV in Accounting and Bookkeeping or Cert IV in Business Administration is highly regarded. 3 Year experience in a Customer Service role
