Description

We are currently looking for a dedicated and highly organized Service Administrator to join our service team. This role is pivotal to ensuring smooth delivery in our fast-paced engineering environment while also working closely with the sales team and interacting with customers. The ideal candidate will be diligent, proactive, and able to work independently, with a strong focus on attention to detail. The service administrator will be involved in the preparations of all aspects of the day to day service delivery whilst working closely with the Service Manager.

REQUIREMENTS:

Ø Strong communication skills, specifically phone communication
Ø A customer-focused attitude with the ability to handle inquiries and maintain professional relationships.
Ø Excellent organizational skills with the ability to manage multiple tasks and meet deadlines
Ø The ability to work independently and take initiative in a fast-paced environment
Ø High attention to detail to ensure accuracy in all aspects of work.
Ø Proficient in Microsoft Outlook, Excel and Word

Responsibilities

Ø Serving as a point of contact for customers, answering phone and email inquiries, and assisting with order-related issues to ensure customer satisfaction.
Ø Process service orders and maintenance contracts, ensuring all necessary details are captured and assigned to engineers in a timely manner.
Ø Prepare and issue invoices for completed orders, ensuring they align with the terms outlined in maintenance contracts and the scope of the work completed.
Ø Process engineer worksheets into SAP, ensuring that all completed work, hours, materials, and other relevant details are accurately recorded.
Ø Assist in coordinating the schedules of engineers, ensuring that contracts and service orders are assigned to the appropriate engineers based on availability, location, and skill set.
Ø Collaborate with the sales team to increase orders and identify new opportunities.
Ø Maintain engineer stocks and resources through replenishment tasks and stock takes.
Ø Assist with maintaining and adhering to health and safety regulations for site visits.
Ø Internal administrative support as required.
