Description Summary/Objective: Under the direct supervision of the Branch Manager, this position provides administrative support for the Service and Construction departments. Essential Job Functions: Review Service Tickets for billing accuracy. Enter time worked for Service Technicians and Construction personnel in Great Plains – Time Track software. Close out Gilbarco/Warranty claims. Issue and receive Purchase Orders. Commission/Register new equipment installed. Review denied/past-due invoices. Obtain multiple trip approval for billing purposes. Assist construction manager with ordering equipment, setting up jobs and reviewing jobs for close out. Additional Eligibility Qualifications: Strong attention to detail. Good knowledge of Excel/MS Office. Good at multitasking and prioritization. Excellent verbal and written communication skills required. Excellent interpersonal skills required. Self-starter with focus on process improvement. Great Plains experience a plus. Related work experience in service dispatching strongly. Competencies Thoroughness Technical capacity Personal responsibility Supervisory Responsibility: This position has no direct supervisory responsibilities, but may serve as a coach and mentor for other positions within the company. Requirements Work Environment: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Physical Demands: This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary. Position Type/Expected Hours of Work: Standard Office hours are Monday- Friday 8-5 PM. Travel: Local travel into the branch is expected. Required Education and Experience: High school diploma/GED required. Work Authorization/Security Clearance: US Work Authorization is required.
