We are seeking a Service Administrator x 1 based in UB Workshop (CSC): JOB PURPOSE: Responsible for work in progress, data entry, accounts and general typing and administrative tasks for the team. Act as the first point of contact for internal service-related administrative queries. KEY RESPONSIBILITIES Raise and process purchase requisitions and purchase orders. Generate service quotes, invoices, and work orders. Collect, maintain, and process time sheets, rosters, and leave requests for the Parts and Service Department, including the workshop. Act as the local warranty handler for all parts and service warranty claims. Arrange local air travel for all personnel (excluding OT service contract staff) and visitors. Coordinate field service job scheduling in collaboration with Service Supervisors and Customer Support. Manage the work-in-progress (WIP) process efficiently for field service operations. Monitor service technicians’ job progress and follow up on outstanding field service tasks. Ensure all field service documentation (job cards, service reports, customer signoffs) is complete, accurate, and correctly filed. Perform general data entry, typing, and administrative duties. Generate monthly, quarterly, and other reports as requested. Support the ongoing development, maintenance, and improvement of parts and service databases. Prepare monthly and quarterly contract review presentations. Generate and maintain procedural documentation for all parts and service contract-related processes. Support Manager in monitoring service contract profitability and cost recovery. Follow up on outstanding invoices, service billing queries, and warranty credit notes. Ensure correct application of labor rates, travel costs, and consumables in service orders. Liaise with the Parts Department to ensure required parts are ordered, allocated, and available for field service jobs. Track consignment stock, returns, and warranty parts movements related to service activities. Assist with reconciliation of service-related parts usage and stock discrepancies. Provide administrative backup and take on additional workload during sick leave or annual leave of other team members. Support the Workshop Manager as required JOB REQUIREMENTS: Bachelor’s degree in International relations, English translator or Business Administration. Previous experience working in an administrative role. High level of computer skills including Microsoft programs Ability to speak and write in both English and Mongolian. Possess good time management, enthusiasm to meet set targets, time frames and KPI's Able to work unsupervised and be self-motivated Ability to learn new skills and concepts quickly High attention to detail and accuracy. Excellent communication skills, and a good team player.
