Description Summary: We are seeking a highly organized and customer-focused Service Advisor / Service Administrator to join our dealership’s service department. This dual-role position acts as the key liaison between our customers and the service technicians, ensuring a seamless and efficient service experience. The ideal candidate will have a strong understanding of automotive services, excellent communication skills, and the ability to handle administrative duties with accuracy and efficiency. Requirements Customer Service & Advisory: Greet customers in a professional and friendly manner. Listen to customer concerns, accurately document service needs, and translate them into clear repair orders. Provide detailed explanations of recommended services, repairs, and estimated costs. Keep customers updated on the status of their vehicles throughout the service process. Review completed work and handle the vehicle delivery process with the customer. Follow up after service to ensure customer satisfaction and address any concerns. Administrative Duties: Open and close work orders in the dealership’s service management system (CDK). Schedule service appointments and coordinate with technicians for availability. Maintain accurate records of customer interactions, repairs, warranties, and services performed. Process payments, warranty claims, and invoice paperwork in accordance with dealership and manufacturer standards. Assist with inventory tracking of parts and service-related supplies. Support service advisors and technicians with administrative tasks as needed. Required Skills & Qualifications: High school diploma or equivalent; further education or technical training is a plus. Previous experience in a dealership or automotive service environment preferred. Strong knowledge of automotive systems and services. Excellent communication and interpersonal skills. Proficiency with dealership DMS software (CDK) is an asset. Ability to manage multiple tasks in a fast-paced environment. High attention to detail and accuracy in administrative work. Strong problem-solving skills and a customer-first attitude. Valid driver’s license and clean driving record. Working Conditions: Full-time, often Monday through Saturday schedule. Work is performed in a dealership service reception and office environment, with occasional time spent in the workshop or outdoors. May involve standing or walking for extended periods.
