ABOUT THE POSITION

We are seeking a proactive and detail-oriented Service Coordinator to join our dynamic team. This role is essential to ensuring the smooth and efficient operation of our office by coordinating administrative processes, supporting team members, and facilitating effective communication across departments. The ideal candidate will possess strong organizational skills, a collaborative mindset, and the ability to manage multiple priorities with professionalism and discretion. Working under general supervision, the coordinator will contribute to maintaining operational excellence and enhancing team productivity. Additional responsibilities will be assigned when needed.

BASIC QUALIFICATIONS

  • College Degree.
  • 3+ years experience with communications including emails, phone calls, and correspondence, ensuring timely and professional responses.
  • 3+ years experience in preparing, reviewing, and maintaining accurate records and reports.
  • 3+ years experience with Microsoft Office Suite.

PREFERRED QUALIFICATIONS (NICE TO HAVE)

Other qualifications you may have that would be beneficial in this role include:

  • 3+ years experience with one of the following: Salesforce / SAP / or any ticketing tools / CRM (Client Relationship Management). (asset)
  • Strong organizational skills with attention to detail.
  • Effective English communication skills, both written and verbal.
  • Ability to multitask and prioritize tasks in a dynamic work environment.
  • Proactive problem-solving skills and a can-do attitude.
  • Flexibility to adapt to changing priorities and take on new responsibilities.
Responsibilities

KEY RESPONSIBILITIES

  • Office Coordination & Communication
  • Manage incoming communications including emails, phone calls, and correspondence, ensuring timely and professional responses.
  • Serve as a liaison between departments to facilitate smooth information flow and resolve administrative issues.
  • Documentation & Reporting
  • Prepare, review, and maintain accurate records and reports.
  • Support data entry and ensure the integrity of documentation systems.
  • Administrative Support
  • Assist in budget tracking and expense reporting.
  • Support project management activities and contribute to special initiatives as needed.
  • Process Improvement & Compliance
  • Evaluate administrative workflows and recommend improvements to enhance efficiency.
  • Ensure adherence to company policies and procedures in all administrative tasks.
  • Customer & Staff Interaction
  • Provide exceptional service to internal and external stakeholders.
  • Assist junior staff with documentation and procedural guidance.
