Description
Description Technician Coordination Schedule and assign technicians to service jobs and site visits. Communicate job requirements and ensure technicians have the necessary materials and information. Double-check parts are pulled correctly and coordinate where parts should be delivered. Create and update calendar invites, including location of parts and job details. Handle appointment cancellations, rescheduling, and customer updates on ongoing services. Order Entry & Materials Management Enter orders for replacement parts and components in the ERP system, ensuring accuracy and completeness. Build bills of materials for each job, generating supplier purchase orders. Evaluate technician submitted cases for follow up and quoting to customers. Request vendor part numbers and pricing; manage service quotes and revisions. Work with warehouse and shipping teams to stage materials for upcoming jobs and process returns. Manage warranties and coordinate with vendors for claims. Customer & Team Communication Serve as the first point of contact for incoming service requests (calls, emails, web, sales). Correspond with customers and suppliers to address any after-shipment issues (damaged/lost material, pricing discrepancies, returns). Provide accurate delivery information regarding open or past due orders. Coordinate with customers for site visits, machine information, and run times. Collaborate with PennAir and other teams for joint installations and service projects. Documentation & Systems Enter new equipment and customer information into ERP systems (e.g., Acumatica). Maintain detailed records of communications, work orders, labor efficiency, and oil/air sample documentation. Organize checklists for equipment and ensure compliance with company procedures. Requirements 5+ years in field service support, preferably in compressor maintenance or industrial service. Readily picks up the phone to address questions, clarify requirements, and resolve challenges with both techs and customers. Strong technical aptitude and willingness to gain deep knowledge of service work, suppliers, and products. Experience entering and managing orders for parts/components in an ERP system (Acumatica preferred). Proficient in Microsoft Office (Outlook, Word, Excel). Excellent written and oral communication skills; highly outgoing and assertive. Ability to multi-task, prioritize, and manage time in a fast-paced environment. Detail-oriented, organized, and able to work under pressure. Team player with a proactive approach to problem-solving.
