Crown Equipment Sdn. Bhd. is currently seeking a dedicated and organized Service Coordinator to join our dynamic team. In this integral role, you will be the primary point of contact for both customers and our service team, ensuring the efficient coordination and management of service operations. You will handle service scheduling, job dispatch, and administrative support, all while maintaining high levels of customer satisfaction. Your role as a Service Coordinator will involve proactively managing service requests, communicating effectively with technicians, and ensuring all job orders are processed accurately. You will also play a key role in handling invoicing and maintaining service documentation, which is critical to sustaining our operational effectiveness. Key Responsibilities: KRA 1: Customer Service Receive and manage customer calls, coordinate with the Team Lead, and arrange service technicians to attend to customer requests in a timely manner Ensure prompt and accurate entry of service‑related information into the AS400 system KRA 2: Data Entry Process and issue customer invoices accurately and in a timely manner Prepare, process, and issue credit notes accurately, ensuring timely communication to customers KRA 3: Administration Ensure timely and accurate processing of documents related to service technicians, including claims, timesheets, and other supporting records Maintain accurate filing systems and proper maintenance of all service‑related documentation Prepare and issue timely and accurate quotations to customers in accordance with company guidelines KRA 4: Suppliers Management Source, arrange, and coordinate suppliers for services and materials required by the Service Department Process, verify, and submit all supplier documentation (e.g. invoices and supporting records) to ensure prompt and accurate payment in accordance with company procedures KRA 5: Parts Control Coordinate and place orders for parts with other branches Receive, verify, and issue parts in accordance with operational procedures Accurately process and update parts transactions in the AS400 system Prepare and dispatch parts to branches in a timely and efficient manner Maintain store organisation, cleanliness, and proper inventory upkeep KRA 6: Others Follow up on outstanding service invoices to ensure timely collection Knowledge, Skills & Experience Have at least 3 years of working experience Technical proficiency in Microsoft Office and AS400 Able to communicate and effectively coordinate between Technicians and Customers Degree or Diploma Certificate in Business Administration, Business Management or in a related field Insurance benefit: GHS-Inpatient, GHS-Outpatient, GP-Specialist, GPA & GTL Unlimited amount for panel clinic
