Description Position Summary: The Service Coordinator Specialist is responsible for providing administrative, scheduling, and customer support to ensure the efficient operation of NRG Controls’ service department. This position manages service requests, schedules technicians, and maintains communication between clients, field personnel, and management. The Service Coordinator Specialist plays a key role in maintaining high standards of customer service, accuracy, and operational efficiency within the service division. Essential Duties and Responsibilities: Receive, log, and prioritize service requests from customers and internal departments. Schedule and coordinate technicians for service calls, preventive maintenance, and warranty work. Communicate with customers to confirm appointments, follow up on completed service, and address inquiries. Prepare and process service work orders, ensuring all required documentation is complete and accurate. Assist with billing and invoicing for completed service work. Maintain and update service logs, technician schedules, and customer databases. Support parts ordering and vendor coordination for repair and maintenance activities. Collaborate with the Service Manager and field staff to ensure timely project completion and follow-up. Monitor open work orders and ensure timely resolution of outstanding service requests. Generate service activity reports and assist with department metrics as required. Maintain compliance with company policies, safety procedures, and customer requirements. Requirements Required Qualifications: High school diploma or GED required; associate’s degree in Business, Administration, or related field preferred. Minimum of two (2) years of experience in service coordination, dispatch, or administrative support. Proficiency with Microsoft Office Suite, including Excel, Outlook, and Word. Strong organizational and communication skills. Preferred Qualifications: Experience in building automation, HVAC, or construction industries. Familiarity with ERP or service management systems. Knowledge of scheduling, work order tracking, and billing processes. Customer service experience in a technical or field service environment. Knowledge, Skills, and Abilities (KSAs): Strong communication and interpersonal skills. High attention to detail and accuracy in data entry. Ability to multitask, prioritize, and meet deadlines in a fast-paced environment. Positive and professional demeanor in customer interactions. Ability to work independently and collaboratively with internal teams.
