ROLE
Reporting to the Service Manager, the Service Coordinator is responsible for organizing, scheduling, and overseeing field and shop service activities, ensuring efficient resource allocation, clear communication, and timely completion of all service work orders, as well as accurate tracking of project time and materials in QuickBooks (QB). This role serves as the central communication hub between technicians and management, while maintaining service records and ensuring compliance with company policies, safety standards, and client requirements.
RESPONSIBILITIES
- Coordinate daily job numbers for field and shop service work for all technicians, including both billable and non-billable time. Enter daily work order time into the employee bi-weekly payroll sheet.
- Receive and process incoming service requests from customers and internal departments, creating new job numbers in QB as required.
- Plan and adjust work assignments based on technician availability, skillset, and job location.
- Maintain the service calendar and communicate schedule changes promptly.
- Prepare work orders, job packets, and required documentation for each service job.
- Ensure required permits, site access approvals, and safety documentation are secured before dispatch.
- Track job progress and provide updates to customers and management throughout the service process.
- Follow up on completed jobs to confirm customer satisfaction and identify potential additional service opportunities.
- Assist in preparing quotes for service work in collaboration with the Sales/Service Manager.
- Ensure all completed service documentation, reports, and timesheets are submitted, reviewed, and filed promptly.
- Collaborate with parts and inventory staff to ensure required materials and equipment are available for each job and accurately entered into the ongoing estimate (EST) and corresponding invoice in QB.
- Work closely with the Safety Department to ensure all technicians are current with training and site-specific safety requirements.
- Prepare and distribute monthly service performance and utilization reports in collaboration with the Service Manager.

Pay: $25.00-$32.00 per hour
