Summit Truck Body has served the commercial truck and transportation industry in the Pacific Northwest for over 35 years, specializing in building and upfitting dry vans, flatbeds, and refrigerated vans. In 2021, Summit expanded by acquiring a Seattle-area service center, which repairs and refinishes all makes and models of medium, heavy-duty, specialty, and fleet vehicles.
Our Service Coordinator plays a vital role in coordinating sales and estimating activities and supporting the service team to deliver an industry-leading customer experience. This position requires exceptional organizational skills, interpersonal savvy, advanced communication skills, initiative, and a collaborative spirit. The Service Coordinator must have strong problem-solving and prioritization abilities, a keen eye for detail and accuracy, and a willingness to manage diverse responsibilities, including parts-related tasks. This role is essential to achieving Summit’s long-term strategic goals.
An ideal candidate would have prior experience in service coordination, estimating, or customer support within a manufacturing, automotive, or transportation environment and be comfortable handling both administrative and hands-on tasks related to vehicle and parts sales.

QUALIFICATIONS

  • High school diploma or equivalent Required. College level education preferred.
  • Direct or indirect manufacturing and/or similar industry experience is preferred.
  • Skilled at communicating information verbally and in writing so others clearly understand.
  • Exceptional customer service skills; proactive and committed to following through to completion.
  • Demonstrated attention to detail and organizational efficiency.
  • Self-directed, displays curiosity and seeks opportunities to learn.
  • Leadership and problem-solving skills.
  • Proficiency with Microsoft Office applications, Access database, ERP and CRM software.
  • Basic math skills.
  • Demonstrates honesty and integrity in all business practices.
  • Ability and interest in working in a fast-paced and changing environment.
Responsibilities
  • Coordinate delivery of vehicles to and from customers. Establish and maintain relationships with drive-away providers and work to establish secondary sources where possible.
  • Review and update Summit’s Customer Relationship Manager (CRM). Use the system to track opportunities and maintain constant communication with key accounts.
  • Write and process service quotes. Create service orders and deploy them to the shop team.
  • Coordinate the movement of chassis in various stages of completion between third party vendors.
  • Manage communication regarding service schedule and stages of completion for major fleet customers, dealers, and similar high-volume customers.
  • Collaborate with all departments to ensure sales, marketing, customer inquiries and deliveries are handled efficiently and seamlessly for our customers.
  • Assist with the creation and execution of marketing efforts.
  • Oversee the warranty process in coordination with the Portland location, ensuring all local warranty claims are processed efficiently and in compliance with company policies.
  • Write and submit warranty orders accurately and in a timely manner, collaborating with internal teams and vendors as needed.
  • Maintain records of warranty claims, track progress, and follow up on outstanding items to ensure resolution.

Parts Responsibilities:

  • Learn company parts and parts process.
  • Handle parts sales inquiries from customers and generate quotes for over-counter sales.
  • Process parts quotes into invoices. Pull parts from inventory for customers or submit to the material handling team.
