WHO YOU ARE (QUALIFICATIONS & EXPERIENCE):

  • Positive, polite and friendly attitude, ready to roll sleeves up and be part of the team as well as working independently
  • Proven experience in client service or administrative role (ideally within trades, automotive or engineering)
  • Strong organisation skills and ability to prioritise in a fast paced environment
  • Attention to detail and a genuine care for delivering high quality service to our clients
  • Excellent communication skills, both written and verbal and comfortable with interacting professionally with clients and team members
  • Open-minded and adaptable when priorities change.
  • Confident user of Microsoft Office and experience with a CRM, ideally ServiceM8 and/or Hubspot (not essential for these specific CRMs as they will provide internal training)

Responsibilities

KEY RESPONSIBILITIES

  • Be the first point of contact for the Engineering Team, managing all incoming service requests via phone and email.
  • Schedule and coordinate both contract and ad-hoc client appointments, dispatching engineers efficiently.
  • Keep an eye on service schedules and shuffle things around when reactive or emergency callouts come in.
  • Use systems such as ServiceM8 and Hubspot to confirm appointments, update clients, handle queries, and escalate when needed.
  • Support the Engineering Team with admin tasks: setting up new jobs, checking progress in the system, and making sure clients aren’t left waiting.
  • Build and maintain supplier relationships — raising orders for materials, labour, or transport and ensuring everything arrives on time.
  • Take deliveries on site, review and label them clearly so engineers can grab what they need without delay.
  • Make sure engineers always have the tools, equipment, and materials to get the job done right first time.
  • Work alongside sales, finance, and operations to keep the whole service process seamless.
  • Collaborate with the Engineering and Operations teams to spot opportunities to improve processes and client service.
