ABOUT US:

We are a dynamic and fast-paced multi-franchise motorcycle dealership representing leading brands including KTM, Norton, Husqvarna, GASGAS, and Surron. Known for our commitment to exceptional customer service and motorcycle expertise, we are now looking to grow our team with a highly organised and personable Service Administrative Assistant to support our busy Service Department.

REQUIREMENTS:

  • Previous experience in an administrative or service support role (motor trade or motorcycle industry preferred but not essential).
  • Excellent communication and customer service skills, both verbal and written.
  • Strong organisational skills and attention to detail.
  • Competent with diary management and Microsoft Office (Outlook, Word, Excel).
  • Ability to multitask in a fast-paced environment.
  • A basic understanding of motorcycle parts or mechanical knowledge is desirable.
Responsibilities

THE ROLE:

Reporting directly to the Service Manager, you will play a key role in ensuring the smooth day-to-day operation of our Service Department. Your primary responsibilities will include customer communications, diary management, parts knowledge support, and general administrative duties. You will be the first point of contact for service customers and must represent the dealership in a friendly and professional manner.

KEY RESPONSIBILITIES:

  • Assist the Service Manager with daily operations and scheduling.
  • Manage the service department diary, including customer bookings, technician allocations, and reminders.
  • Communicate with customers via phone and email regarding service bookings, updates, and follow-ups.
  • Provide administrative support including preparing job cards, invoicing, warranty claims, and record keeping.
  • Liaise with the parts department and assist with ordering or identifying parts where necessary.
  • Maintain up-to-date knowledge of the motorcycle brands we represent.
  • Ensure all customer interactions meet the highest standards of service and professionalism.
