Description

Vipond | Fire-Tech is one of the largest third-party suppliers of Fire Alarm, Sprinkler Systems, Fire Suppression, and other life safety systems in Newfoundland and Labrador. We are seeking a highly organized and detail-oriented individual to join our team.
In this role, you will oversee and coordinate service and inspection schedules—assigning technicians, managing timelines, and ensuring resources are used effectively. You will also provide front-office support by answering calls, greeting visitors, and assisting with day-to-day administrative needs. This position plays a key part in daily operations, keeping workflows organized, supporting service teams with the information they need, and maintaining clear communication with both staff and customers.
Key Responsibilities:
* Coordinate and schedule service and inspection appointments
* Monitor and adjust schedules to maximize efficiency and meet deadlines
* Track and prioritize urgent service requests to support workflow needs
* Communicate schedules, updates, and changes to technicians, office teams and customers
* Maintain accurate records, reports, and documentation in office systems
* Answer incoming phone calls and direct inquiries appropriately
* Greet and assist visitors in a professional and friendly manner
* Distribute inspection paperwork
* Support the Service Managers with resource allocation and daily planning
* Contribute to process improvements to enhance scheduling and communication efficiency
* Provide backup administrative support across the office as required
Qualifications:
* High school diploma required
* College degree in a relevant field considered an asset
* Previous administrative, scheduling, or dispatching experience considered an asset
* Strong organizational, time management, and problem-solving skills
* Excellent communication abilities with both internal teams and external clients
* Knowledge of the province and local area considered an advantage
* Proficiency with computer systems required
Job Type: Full-time
Pay: $45,000.00-$50,000.00 per year
