Description

First Connect Fire & Security Ltd are looking for a Service & Installation Co-ordinator/Scheduler to join our team - this position will be responsible for scheduling all works including Reactive Call Outs, Installations, Small Works and Planned Maintenance.
You will be supporting commercial and domestic clients mainly across East Anglia.
You will join our Operations Team which ensures jobs are scheduled and allocated to engineers through our management system: InstallerPro.
The ideal candidate will have the ability to be proactive and work in a fast paced environment, as well as a commitment to providing exceptional service to our customers.
You will need to have excellent customer liaison, scheduling, and organisation skills

REQUIREMENTS:

  • Minimum of 2 years experience of scheduling field based colleagues, such as Engineers would be an ideal background, however, other similar industry experience would definitely be considered and welcomed. Alternatively, this role may suit a field service engineer looking to move into an office environment.
  • Strong communication skills, both written and verbal with excellent attention to detail.
  • Ability to work independently and as part of a team.
  • Ability to work in a fast-paced environment with multiple priorities and deadlines.
  • Familiarity of using in-house and external systems and databases – e.g InstallerPro, would be a significant advantage, but not mandatory
  • Able to effectively juggle competing priorities in a demanding environment and work flexibly
  • Ability to manage multiple tasks simultaneously.
  • A highly methodical and organised approach to work with the ability to prioritise effectively and work independently
  • Ability to maintain the highest standards of professionalism, transparency, and fairness, putting the interests of clients and the business at the heart of everything
  • Self-motivated and proactive, takes full ownership of work area and ownership of customer database
  • Microsoft Office experience required including Outlook, Word, Excel, Teams and Planner
  • STRONG Geographical knowledge

Responsibilities
  • First point of contact - answering inbound and making outbound calls and dealing with enquiries.
  • Planning and scheduling works for engineers as well as daily emergency and reactive work in line with customer requirements and industry standards.
  • Carefully plan and prioritise scheduling of work with available resource capacity.
  • Ensure that contractual planned preventative maintenance visits are delivered punctually and quoted service visits and reactive call outs are addressed within appropriate timeframes;
  • Order materials including kit, parts, cables, equipment etc using Xero
  • Communicating effectively with the team, management and colleagues to aid smooth running of department
  • Develop positive and strong daily working relationships with the engineering team and liaising with engineers ensuring that they have all relevant information and materials to carry out jobs.
  • Providing excellent customer service to all clients.
  • Booking all repairs/ appointments before arranging appropriate resource and confirming appointments with customers via email.
  • Liaise with subcontractors to co-ordinate attendance onsite and any required documentation including reports, permits and risk assessments
  • Following GDPR Guidelines and protecting personal data.

  • Office based role full-time, 40 hours, 5 days per week Monday to Friday – 8.30am until 5.00pm each day
  • Salary dependent on experience £25k-£30k
