Responsibilities

ROLE

The Service Receptionist will be the first point of contact for customers visiting or contacting the service department. This role is responsible for delivering exceptional customer service, coordinating service bookings, liaising between customers and the workshop team, and ensuring smooth day-to-day operations within the service department.

KEY RESPONSIBILITIES

  • Act as the primary contact for all service customers, both in person and over the phone.
  • Schedule, manage, and confirm service appointments using the dealership’s booking system.
  • Greet customers, check in vehicles, and accurately record service requirements.
  • Provide updates to customers on the progress of their vehicles and ensure clear communication regarding costs and timelines.
  • Liaise with workshop staff and service advisors to ensure smooth workflow and accurate job allocations.
  • Prepare invoices, process payments, and ensure all documentation is completed correctly.
  • Handle customer queries, complaints, or issues efficiently and professionally.
  • Maintain a tidy and welcoming reception area in line with company standards.
  • Support the service team with administrative duties as required.
