In this role you will handle a mix of administrative and shop support tasks, making sure everything runs like clockwork. From scheduling and recordkeeping to customer communication and maintaining a clean, safe and efficient facility, you will help create an environment where both our team and customers thrive. Requirements Administrative Support Greet customers and direct them to the appropriate staff or service advisor. Answer phones, take messages, and provide updates on service progress. Assist with scheduling appointments, work orders, and technician assignments. Maintain service records, logs, and reports to ensure accuracy and compliance. Process invoices, purchase orders, and vendor documentation. Manage and inventory warranty parts. Support service management with clerical tasks, data entry, and filing. Facility Responsibilities Monitor cleanliness and organization of the service shop, office areas, and customer waiting area. Assist in coordinating facility maintenance (repairs, HVAC, lighting, etc.) with vendors. Perform routine walkthroughs to ensure safety and compliance with company standards. Support shop staff with light labor tasks, such as moving equipment, disposing of waste, and ensuring work areas are hazard-free. Qualifications High school diploma or equivalent (associate’s degree a plus). Previous administrative or clerical experience preferred. Familiarity with service or automotive shop environments is an advantage. Strong organizational and multitasking abilities. Proficiency in Microsoft Office or equivalent software. Excellent communication and customer service skills. Ability to work independently and as part of a team. Physical Requirements Ability to stand, walk, bend, and lift up to 30 lbs. as needed. Comfortable working in both office and shop floor environments. Work Environment This role requires balancing front-office duties with hands-on support in the shop. The Service Shop Assistant plays a key role in ensuring efficient operations, customer satisfaction, and a safe facility for both staff and visitors.
